Position Summary
The Project Coordinator (PC) works closely with, and proactively supports, the Project Manager (PM) to ensure complete client satisfaction and that projects are completed while adhering to MARANTs standard operating procedures/best practices; so to ensure projects are completed on schedule, on budget and according to plan. The successful PC uses their academic training in construction management, industry knowledge (with a concentration in commercial leasehold improvements/tenant renovations) and 1 to 5 years experience to support all aspects of construction projects from preconstruction to completion. Preference will be given to candidates with experience in commercial interior construction and leasehold improvements. In addition, and equally important, this position requires someone who is client centered, results oriented, team focused, technically proficient, resourceful, hyper-organized, energetic, and able to manage competing priorities, demanding deadlines, and multiple and concurrent projects.
Key Responsibilities
Assist with the administration of all aspects of construction projects from preconstruction to completion. Including:
Preconstruction Services Support
- Assist in preparing a deliverable schedule for bidding practices.
- Help prepare project budgets.
- Participate in creating preliminary construction schedules.
- Handle preconstruction documents sent to landlords.
- Prepare tender bid forms, provide instructions to bidders, and determine scopes of work.
- Summarize all bids and prepare the Tender Summary.
- Set up a filing system for all related materials.
Administration of the Project
- Distribute construction documents, including printing, photocopying, and sending to sub-trades.
- Deliver items and samples as needed.
- Communicate issues and coordinate activities.
- Oversee document control (RFIs, Field Instructions, Work Orders, Changes, Invoices, etc.); prepare logs; distribute weekly log updates and Site Meeting Minutes, if requested.
- Maintain preconstruction and electronic files.
Acquisitions Required for the Construction of the Project
- Refine the scope of work.
- Identify items with delivery dates that impact the schedule.
- Prepare sub-trade contracts and purchase materials.
- Participate in awards, supplier awards, and tracking deliverables.
Review drawings with consultants (SPSW).
Management and Scheduling of Projects
- Monitor the schedule for adherence to the plan.
- Flag and document variances.
- Use software tools (MS Word, MS Excel, MS Project, HIKUU) to assist in project management.
- Collaborate with project managers, site supervisors, and sub-trades to ensure effective project implementation.
Cost Control Management
- Minor involvement in issue resolution.
- Manage and verify sub-contractor change orders.
- Assist in reviewing trade quotations.
- Prepare cost documents for submission and resolution.
- Assist in the preparation of preconstruction drawings.
- Help prepare end-of-month Progress Draws.
- Validate sub-trade values.
- Track all project costs to ensure completion within budget.
Project Close-out
Work with the Close-out Team to ensure:- Achieving Substantial Performance.
- Aggressive deficiency list completion and distribution.
- Monitoring and follow-up to ensure timeframes per MARANT policy are met.
- Achieving a 30-day close-out completion target.

Qualifications
Education, Knowledge, and Skills
- Completion of a degree or diploma in a recognized construction discipline such as Architectural Technology, Construction Technology, Engineering, etc.
- Ability to read and understand construction documents, including drawings, specifications, and details.
- Strong planning, execution, and time management skills.
- High attention to detail and ability to maintain accurate records, accounting functions, and calculations.
- Ability to read, understand, and apply contract terms.
- Proficiency in managing challenging schedules with multiple variables.
- Ability to work under pressure with tight deadlines on multiple projects.

- Occasional overtime.
Physical Demands
- Primarily office environment with periods of intense concentration.
- Visits to construction sites may involve walking on uneven or broken surfaces and exposure to construction-related hazards.
- Physical ability to lift up to 50 pounds.
