REPORTS TO: Family Wellness Associate Manager

START DATE: As soon as possible

Wage: 22.05/hour

CLOSING DATE: October 2025 (Temporary Position, potential to be extended)

Chimo is looking to hire a full-time or nearly full-time Administrative Assistant who is resourceful, skilled, kind and highly organized to support the administration of the Family Wellness Program, located in Sherwood Park. We are looking for an individual who is passionate about being a team member and understands how their role is essential to the wellbeing of the team and the families we collectively serve.

The ideal candidate for this position will be;

  • Organized, efficient and able to work on multiple projects simultaneously.
  • Resourceful and a good problem solver.
  • Comfortable being a member of a busy team.
  • Organize complex, shared schedules for team members
  • Able to assure a steady completion of workload in a timely manner
  • Able to work Monday-Friday; hours will be negotiated between 25-37.5 hrs/week.

The Family Wellness Administrative Assistant duties will include;

  • Provide coordination, leadership and scheduling to the Family Wellness team, which included Family Wellness Coordinators, Coaches and Supervisors.
  • Develop and implement tracking systems to support front line staff to meet deadlines.
  • Edit reports for grammar and clarity.
  • Generate memos, emails and reports when appropriate.
  • Assist in creation of program related documents i.e. brochures, workshop posters, etc.
  • Assist with day-to-day operations as prescribed by the manager/director.
  • Completion of month end reporting.
  • Attends and participates in supervision and annual evaluations.
  • Assumes responsibility of office equipment, including computers, copier and fax machines.
  • Maintain office supplies by checking inventory and order items.
  • Answer incoming calls and assume other receptionist duties when needed.
  • Be aware of and adhere to agency Policy and Procedures
  • Be aware of and adhere to accreditation standards.

Education and Credentials:

  • This position requires a minimum high school Diploma as well as the successful completion of a recognized secretarial program or equivalent experience.
  • Current (within 6 months) Criminal Record check and Child & Family Intervention check. If submitting application, apply for these requirements as soon as possible, as this can detour employment start date.
  • Valid drivers license, drivers abstract, and a 3 year claims experience letter from your auto insurance broker stating you have 3 full years driving history, with no at fault claims.
