Here's what you'd do:

  • The Bilingual Receptionist is integral to the success of the Office Services team, and to client guiding mission and growth strategy.
  • We are seeking a professional and organized Bilingual Receptionist to join client Pension Plan.
  • This individual will serve as the first point of contact for our office, requiring a welcoming demeanor and the ability to handle office tasks with precision and efficiency.
  • Conversational proficiency in both French and English is essential to communicate effectively with our diverse clientele and staff.
  • The Receptionist will be reporting to the Office Services Manager.
  • Serve as the primary contact for all visitors, managing both in-person greetings and softphone communications.
  • Ensure a welcoming, professional, and efficient reception experience.
  • Maintain a tidy and well-stocked reception area.
  • Manage visitor logs and issue badges as necessary.
  • Uphold all company safety and security protocols.
  • Handle sensitive and confidential information with discretion.
  • Oversee the daily processing and distribution of internal mail.
  • Coordinate courier shipments and reconcile waybills with invoices.
  • Assist in managing meeting room bookings and corporate catering, including maintaining vendor relationships.
  • Support the organization of company events and activities, potentially leading project execution.
  • Create and update content for internal communications, including digital signage.
  • Collaborate with the Facilities Administrator to ensure timely communication of maintenance and repair needs to the landlord.
  • Maintain accurate and current information on department SharePoint pages.
  • Act as an enthusiastic and integral member of the Office Services team.

Required Skills / Qualifications:
  • High School Diploma or GED
  • Minimum of 2 years experience in a receptionist or administrative role within a corporate setting
  • Minimum of 2 years experience in Microsoft Office (Outlook, Word, Excel, SharePoint).

Preferred Skills / Qualifications:
  • Excellent verbal and written communication skills.
  • Strong organizational skills with the ability to prioritize tasks.
  • Resourcefulness and attention to detail with a high level of accuracy.
  • Initiative and a commitment to continuous improvement.
  • Enthusiasm and a collaborative spirit as an integral member of the Office Services team.
  • Proven ability to work independently with minimal supervision.
  • Conversational proficiency in French.
