Job Title: Project Administrator
Location: Waterloo Region, ON
Job Type: 12 Month Contract
Salary: $25.00/hourHours: 8-4:30pm / In-Office
Position Description:
- Mparketing & Digital Communications
- Tradeshow presence and coordination:
- Confirm tradeshow registrations completed by due dates
- Coordinate with venue/show contacts for advance shipping/receiving and general coordination of materials and equipment for shows
- Coordinate collateral required for shows with internal shipping department to ensure all required components are gathered
- Work with shipping team to arrange for trade show materials to be delivered to the correct booth, and have return shipping arranged
- Maintain inventory of print materials, branded merchandise, and arrange for replenishment/ordering as required
- Customer satisfaction survey system NPS maintenance and follow up
- Digital Communications
- Manage company social media presence (LinkedIn, Facebook, Instagram,
- Represent the organization as member of the Atlas Copco Group North America Communications network
- Maintain organizations website with current product information and marketing materials
- Update all specification sheets (cut sheets) and product brochures as directed
- Design, write, acquire sign-off, and post news releases and articles as directed
- Manage news release section of the company website as directed
- Adhere to AODA legislative compliance for all print and digital communication accessibility and language requirements
- Creation of branding templates and forms utilizing company collateral
- Ordering branded items (SWAG) for tradeshows, promotional use, and internal use including employee branded workwear and backpacks
- Coordinate branding of company vehicles with local vehicle decal vendors
- Coordinate orders of branded and regulatory labels for manufactured materials and equipment
- Assist with Master Data clean-up project to update required customer and product information
- Customer Order Coordination of In-House Release for Pass Through and Secondary Assemblies
- Responsible for inputting customer orders and processing credits using ERP system while ensuring perfect data input accuracy for fields including (but not limited to) customer information, material/equipment part numbers, price, amount, delivery date, etc.
- Work with purchasing and warehouse operations to coordinate parts ordering and on-time customer deliveries
- Inform customer of expected delivery date
- Tracking and scheduling of shipments in progress
- Create labels and Quality Control worksheets for production
- Prepare delivery notes and coordinate with Shipping for on-time, in-full delivery
- Complete invoicing
- Update booked orders in WIP folder when shipped
- Support Project Coordinators
- Assemble production binders for manufactured products
- Scan and file Production binders to customer files on server when complete
- 2-Year diploma or degree in related field (Project Management, Marketing, for example)
- 1-2 years of experience in a similar capacity
- Valid Driver's License and clean driver's abstract may be required
- Vulnerable Sector Police Record Check may be required
- Proficient in ERP Software (SAP preferred)
- Proficient in MS Office Suite (including Excel)
- Bilingual in English & French (speaking and writing) considered an asset
- Experience in manufacturing considered an asset
- Excellent organizational, interpersonal, and problem-solving skills
- Ability to manage multiple deadlines simultaneously
- Ability to multi-task, prioritize, and manage time effectively
- Superior oral and written communication skills
- Excellent digital marketing and communication skills and website management required
- Exceptional attention to detail and strong reading comprehension skills
- Able to collaborate across functions and all levels of organization
