- Work directly with the Director of Business Development to respond to all sales inquiries in a clear and timely fashion and direct those requests to appropriate parties/team members.
- Follow up with clients and prospects to procure accurate information for all quotes and upcoming projects.
- Attend preliminary client meetings and initial site inspections.
- Communicate with clients throughout the duration of the project.
- Gather customer feedback and provide after-sales support when requested.
Creating Dossiers and Quotes:
- Setup complete dossiers for all quote requests.
- Assist in the creation of quotes in our internal sales tracking software.
- Handle the processing of all orders with accuracy and timeliness.
- Assist the Director of Business Development in prioritizing quote requests and ensuring they are completed and forwarded to clients in a timely manner.
- Assist the Sales team as required in the quoting/costing phase of projects.
Project Planning and Coordination:
- Develop a feasible plan for each project that includes key timelines, budget parameters, and objectives for all project elements and disseminate that information to all team members in a timely and efficient manner.
- Coordinate and task relevant internal resources and third parties/suppliers for the flawless execution of projects.
- Compile, communicate, and schedule upcoming and reoccurring projects with the team.
- Maintain sales tracking documents in real-time with accuracy.
Project Execution and Management:
- Monitor and report on project progress in real-time.
- Manage and track all changes to project scope.
- Ensure a high level of quality work is consistently maintained throughout all aspects of the project.
- Identify and resolve any inefficiencies, conflicts, or perceived shortages in manpower, stock, or equipment.
- Task Operations team to source supplier quotes and cross rentals as needed.
- Work in conjunction with the Operations Team as required to coordinate logistics and trucking.
- Act as a main client contact for clients and crew during installs and strikes.
- Assist in problem-solving, negotiating, and addressing any onsite challenges.
- Work with crew chiefs onsite to ensure a safe work environment is maintained at all times.
Project Completion and Reconciliation:
- Manage project financials from initial budget development to final reconciliation.
- Work with the Sales Team to develop, improve, and implement strategies, policies, and practices for better management, reporting, and information flow of projects.
- Contribute to short and long-term organizational planning and strategies, including initiatives geared towards operational excellence and efficiencies.
- Identify and resolve operational inefficiencies, including the provision of cost-saving solutions.
- Sort and file all sales-related documentation, including quote requests, client documentation, renderings, job photos, etc.
Team Collaboration and Mentorship:
- Contribute to a positive, professional, and team-oriented atmosphere.
- Mentor fellow team members to assist them in cultivating leadership qualities.
- Assist Operations team as needed with sales forecasts and incoming projects to help mitigate scheduling conflicts.
- Minimum of five (5) years of professional experience in a similar position
- Proven experience in sales
- BA or BS in business administration or relevant field; certification in Project Management, Sales or Marketing and / or working knowledge of live event or print industries would be assets
- Strong computer skills on PC including great working knowledge of Microsoft Office suite
- High aptitude for learning new computer programs / software
- Proficiency in English

- This position will primarily take place in our office/shop in Richmond however there are requirements to work offsite at event job sites as required by our projects
