About the Groups Department:The GroupsOnly Operations team is the backbone of our group bookings, ensuring everything runs smoothly from start to finish. From managing deadlines and coordinating with internal teams and external suppliers to overseeing payment schedules and travel documents, our team is dedicated to ensuring an exceptional experience for both clients and colleagues. The ideal candidate will be proactive, detail-oriented, and capable of juggling multiple deadlines while delivering top-tier service

The Role: The Group Operations Specialist plays a key role in ensuring the smooth execution of group travel bookings from confirmation through to departure. This position supports the Group Specialists by managing documentation, coordinating itineraries, processing payments, overseeing air and land arrangements, and performing final quality checks. Acting as a central point of communication between internal teams, suppliers, and subagents, the specialist ensures deadlines are met and details are flawlessly executed. The ideal candidate is detail-oriented, collaborative, and thrives in a fast-paced environment.

Key Responsibilities:

  • Quotes & Bookings: Convert quotes to bookings, ensuring all details are accurate and aligned with the confirmation letter.
  • Group File Management: Collaborate with Group Specialists to manage file deadlines and ensure timely completion of group travel documentation.
  • Verification & Itinerary Management: Verify and update itineraries, communicate changes to internal teams and external partners, and maintain alignment with supplier confirmations.
  • Team Collaboration: Work closely with the Group Specialists, liaising on file statuses, requotes, and itinerary changes. Be the go-to person for troubleshooting issues and escalating when necessary.
  • Air Travel Coordination: Assist with air quoting, contract management, and special requests. Ensure timely deposits and ticket issuance.
  • Ticketing & Documentation QC: Oversee ticketing, ensure passport information is accurate, and perform final quality control checks on all documents after dispatch.
  • Supplier & Airline Payments: Request, track, and confirm payments from suppliers/airlines, ensuring deadlines are met.
  • Covering for Group Specialist: In the absence of a Group Specialist, manage incoming requests and assist subagents, ensuring all groups are well taken care of.

Knowledge, skills, and abilities:
• Time Management: Exceptional attention to detail and ability to manage multiple tasks in a fast-paced environment.
• Communication: Strong interpersonal and written communication skills, with the ability to work with both internal teams and external suppliers.
• Technology: Proficiency in Microsoft Office Suite, and basic working knowledge of Amadeus.
• Teamwork: Ability to work well in a team while independently managing responsibilities.
• Adaptability: Comfortable troubleshooting and problem-solving in dynamic situations, and able to take on new procedures as required as we evolve.
• Group Travel Operations Experience: Familiarity with group bookings, airline contracts, and payment processing preferred.
