Executive Assistant and Corporate Support Administrator

Citadel Drilling Ltd./ Opla Energy Ltd. (Citadel/Opla) is currently seeking candidates to fill the role of Executive Assistant and Corporate Support Administrator (EACSA) based out of the Calgary Head Office. The EACSA is a permanent full-time position, reporting directly to the CFO and working closely to support all members of the Executive Management team.

About the Executive Assistant and Corporate Support Administrator position

We are looking for an organized, outgoing individual to support our executive team and corporate services groups. The role demands someone who can immerse themselves as part of the Citadel team and adapt to varying workloads. Attention to detail, proficient and professional communication while interacting with various levels of management, and the ability to multi-task will be crucial to success in this position.

Responsibilities

Administrative Support: Provide coordination, and comprehensive administrative support for the executive team including conducting research and information gathering to support executive decision-making.

Board Meeting Administration: Organize and attend Company board meetings, duties which include the scheduling of meetings, preparation of agendas, collection and posting of meeting materials in the Companys Board Effect platform and recording meeting minutes.

Document Management: Assist keeping Company records and minute books organized and up to date. Assist Corporate Secretary in preparing required resolutions and certifications.

Compensation Administration: Assist in coordination and continuity of the corporate share-based awards plan, with assistance from the Finance team

Travel Coordination: Assist executives with travel itineraries, expense reports and logistical arrangements.

Corporate Procurement Support: Issue requisitions for corporate supplies and equipment; provide overflow support for procurement and accounts payable functions.

Event Planning: Assist with planning company meetings, events, and conferences.

Champion Corporate Culture: Coordinate employee recognition and service award programs.

Project Management: Assist with special projects and initiatives, ensuring deadlines are met and objectives are achieved.

Qualifications, Skills, and Education Requirements

Commitment to Citadels Purpose and shared belief in the Companys Core Values.

Minimum 3 to 5 years of experience in an administrative role reporting directly to upper management.

Bachelors degree in business administration (equivalent education or aligned industry experience considered).

Expertise with Microsoft Office 365 software and related productivity tools.

Service-oriented approach to supporting the executive team, with the ability to build strong working relationships with all department managers and staff.

Strong time-management skills and an ability to organize and coordinate multiple concurrent projects.

Maintain professionalism and strict confidentiality with all materials related to the company strategic initiatives and its compensation programs.

Flexible team player who is willing to adapt, is confident dealing with the challenges related to changing priorities.

Excellent written and verbal communication skills.

Strong collaboration skills that enable you to work effectively with stakeholders and diverse management groups.
