Position Summary

The Accounts Payable Assistant registers all non-PO accounts payable and all corporate credit cards. Responsibilities also include general journal entries, processing expense claims, and registering PO accounts payable as a back-up for other AP staff. Administrative duties for the Finance department are performed by this role as well.

This position reports to the Financial Controller.

Position responsibilities and accountabilities include but are not limited to:

Non purchase order payments

Reviews all incoming, non-PO payment requests to ensure compliance with Bow Valley College policy, checks coding.

Registers invoices keys into Agresso for verification by Accounts Payable Administrator.

Ensures that all accounting controls are adhered to and takes corrective action as required.

Ensures GST payable transactions are in accordance with CRA policy and that BVC takes advantage of 100% rebate whenever possible. Self-assesses GST where applicable.

Reconciles vendor statements and research vendor enquiries on unpaid invoices.

Assists with accruals for monthly payments where invoices are not received.

Expense Claims

Reviews employee expense reports to ensure compliance with BVC policy; discuss any instances where expense reports are not in compliance with employee.

Enters expenses into Unit 4; perform journal entry transfers as required.

Corporate Credit Cards

Downloads monthly file and receipts from bank website system.

Verifies coding, backup and approvals.

Follows-up with cardholders and their approvers to resolve issues with coding, documentation or approvals.

Performs data entry, prepare batch input; maintain files, do journal entry transfers as required

Hard copy files/Electronic Files

Performs filing for payable invoices and employee expense reports on a weekly basis.

Prepares files for archive storage.

Signing authority (payables)

Updates signing authority forms according to College policy.

Provides changes to Finance Team member to update Agresso database with authorities and limits.

Administrative duties

Opens mail and distributes all incoming documents among Finance staff, and invoices for coding and approvals if needed to be sent to other departments.

Monitors custom forms saved in SharePoint for easy access and use by all College employees.

Acts as administrative contact for the Department and undertakes special assignments as required.

Department coverage

Acts as a backup to AP Administrator position during staff absences.

Assists the AR Assistant as required.

Required qualifications:

Post-secondary education

Some experience in a related role

An equivalent combination of directly related education and experience may be considered

Knowledge of government legislations, GAAP, College Policies and Procedures are considered an asset

If your education was received internationally we will require you provide an international education assessment through IQAS, WES, or one of the other nationally designated organizations upon hire

This opening is a Temporary AUPE, FTE: 0.9 position until April 27, 2026. Please note all successful candidates will be required to provide copies of government issued identification and proof of educational qualifications upon hire and may be required to provide an enhanced police information check.
