Position Summary
The Accounts Receivable Assistant is responsible for a wide range of A/R duties including invoicing, monitoring account balances and completing journal entries. This position verifies the bank deposit on a daily basis. This position provides back-up for the AR/General Accounting Administrator position.
Position responsibilities and accountabilities include but are not limited to:
Invoicing
Assumes responsibility for the accuracy and completion of invoicing for the college. This includes creating, distributing, record keeping and entering invoices in the financial system.
Sets-up new customers in the A/R system.
Sponsors invoices for tuition fees are created based on Letters of Intent.
Invoices for product sales are based on invoice requests from departments.
Invoices partner colleges and faculty association as required.
Assists project analysts with invoicing as outlined in signed contracts.
Ensures GST is correctly applied on invoices and that coding of revenue is accurate.
Works closely with Office of the Registrar staff, finance team members and academic departments to ensure amounts are correctly applied to learner/customer accounts and to help resolve issues.
Monitoring Accounts Receivable Balances
Runs A/R Aging Reports.
Runs and distribute Outstanding Account Balance Notification Letters.
Works with Office of the Registrar and departments to determine when to send accounts to collections.
Sends outstanding account information to collections.
Updates notes on customer account when sent to collections.
When amounts are received from collections, work with Office of Registrar to apply the amount to the account and record the collection expense.
Student Loans and Learner Grants
Works with the Office of the Registrar to account for Alberta Works, Alberta Student Loans and Canada Student Loans.
Works with Learner Services to record and track Advanced Education Special Funds Grants provided to learners for accessibility services.
Daily/Month End/Year End
Journal entries for interdepartmental sales.
Verifies daily deposit.
Reconciles accounts for chargebacks.
Cleans up accounts, ensuring all invoicing is completed and working with auditors.
Department coverage
Provides vacation coverage for the AR/General Accounting Administrator.
Assists the AP Assistant as required.
Required qualifications:
Post-secondary education
Some experience in a related role
An equivalent combination of education and experience from which comparable knowledge and abilities can be acquired will be considered
If your education was received internationally we will require you provide an international education assessment through IQAS, WES, or one of the other nationally designated organizations upon hire
This opening is a temporary AUPE FTE 0.7 position until April 27, 2026. Please note all successful candidates will be required to provide copies of government issued identification and proof of educational qualifications upon hire and may be required to provide an enhanced police information check.
