People and culture are a critical part of our business. The HR Coordinator is integral in that. The primary focus of the role is to constantly recruit and source resources, provide our Managers with information and guidance to lead their teams legally and ethically, welcome and on-board our new team members and execute all administration and projects under the Human Resources umbrella.
Duties:
- All onboarding and offboarding activities
- Prepare employment contracts for contractor and permanent employees
- Manage employee files
- Send contracts to new employees and contractors
- Manage new employee activities in Productive
- Order and follow up on background checks for permanent employees
- Ensure contractors provide details on that and COI upon hiring for their files
- Conduct all recruiting activities for all departments
- Current priority openings (as needed)
- Virtual Bench ( weekly hours per week approx.)
- Introduce Bench candidate by type to Managers monthly
- Conduct screening interviews (daily and weekly)
- Manage all documentation and workflow in Jazz (Candidate Tracking System)
- Set up interview for Managers
- Follow through with technical interviews where necessary and set up with Managers
- Attend weekly Resource Planning meetings and update on current hiring and the status of the Virtual Bench.
- Research general legislation in Canada, the US and any other countries where we have employees and contractors to keep up to date
- Answer all questions related to employment standards
- Assist with the Performance Review process by providing guidance, deadlines and forms to all Managers
- File individual reviews in employee files
- Provide Managers with coaching on performance management issues when required
- Plan and execute special projects assigned by Partners regarding People and Culture
- Provide general Administration to Partners
- Create presentations
- Manage calendar for interviews and training
- Order and manage promotional swag
- Any special administrative projects as assigned by the Partners
Qualifications:
- Minimum 5 years Experience in HR administration and recruiting
- Exceptional technical skills
- Advanced in Word and Excel
- Intermediate in Adobe
- Advanced in Candidate Tracking Systems (IE-Jazz)
- Advanced in job sites usage (IE LinkedIn, Indeed etc.)
- Advanced in PowerPoint
- Experience with Productive a definite asset
- Experience with Miro a definite asset
- Keen ability to learn and use new systems easily
- High sense of initiative
- Self Motivated
- Exceptional attention to detail
- HR Diploma is an asset
