Salary: $120,000 / annum
The Opportunity:
The Senior Document Control Specialist is responsible for managing and maintaining all project documentation in the refinery as well as being the champion of our Document Control System, SDX. They will ensure that all documents are properly stored, organized, and accessible to the appropriate stakeholders while adhering to company standards, procedures, and industry regulations. Furthermore, the Senior Document Control Specialist will have to establish a Document Control system within the refinery, as the current system is non-existent and/or inconsistent between departments.
Responsibilities:
- Document Control Set Up:
- Develop, implement and maintain a robust document control system/procedure for use across the entire refinery, including integration of our chosen toll SDX. This function will be a large portion of the first six months at Parkland.
- Establish a filing system within SDX.
- Accept the turnover documents from Worley and Calc on the Major Projects from A1 Tanks and TGTU/NPSWS.
- Document Archiving:
- Move older documents into SDX from the older systems, such as Sharepoint and the Common drives.
- Ensure easy retrieval of archived documents when needed, through an effective indexing and search system.
- Manage the Document Control team working in PRBC Drafting.
- Quality Control and Compliance:
- Ensure all documentation complies with refinery standards, legal and regulatory requirements, and industry best practices.
- Conduct document quality checks and audits to identify gaps or inconsistencies in records.
- Collaboration with Project Teams:
- Liaise with project managers, engineers, and contractors to understand document control requirements for ongoing and upcoming projects.
- Provide training to staff and contractors on document control procedures and best practices.
- Resolve any document-related issues, discrepancies, or disputes efficiently.
- Reporting:
- Generate and maintain reports on document status, pending approvals, and project milestones.
- Track document review cycles and escalate overdue items to ensure timely action.
- Prepare periodic summaries for management on document control performance and compliance.
- Document Control Point of Contact:
- Train refinery personnel on the new document control system and SDX.
- Be the refinery superuser for all things related to Document Control. Be the point of contact for any help and/or training required for refinery staff.
Requirements:
- 10+ years working in an Oil and Gas environment with progressively increasing responsibilities in Document Control.
- Education: Bachelor Degree, General Engineering or a 2-year SAIT or BCIT Technical Diploma with practical work experience.
- Experience with SDX is preferred, but any expertise within a Documentum based system is acceptable.
- Effective communicator and collaborator with multiple refinery departments.
- Excellent organizational skills and attention to detail.
- Ability to maintain confidentiality and handle sensitive documents.
- Proficient in Microsoft Office suite.
