The Opportunity:
Reporting to the National Training Manager, the Retail Communications Coordinator is responsible for the management and distribution of retail operations communication to Parkland retail locations and operations team. The ideal candidate will have a strong communication foundation and proficiency in working with online platforms and administrative experience. This role requires strong time management, prioritization and detailed orientated acumen to help enhance communication in a retail fuel and convenience environment. The Retail Communications Coordinator is responsible for daily management of retail communications distribution via email, Staffbase and Parkland's centralized communications platform (Gateway). This includes, but is not limited to, reviewing internal teams requests, distributing based on request needs / urgency and scheduled postings of non-urgent communications, and supporting user access issues. The coordinator will also work closely with key internal team to ensure relevant content and searchability is user-friendly for the user. The Retail Communications Coordinator will work closely with Retail Communications Specialist. They also work cross-functionally with Recruitment Specialist and Training team, to enable cross-training support and administrative/coordination support.Responsibilities:
Retail Communications Administration
- Manage Retail Communications inbox, ensuring that priority /urgent postings are being addressed in a timely manner.
- Create and distribute communications, documents, and news bulletins from multiple business functions via centralized portal (Gateway), email, and/or Staffbase platform, following Retail Communications process & guidelines.
- Work closely with internal teams to ensure content follows the guidelines set by Retail communications and content is comprehensible to the audience.
- Cross-functional support with translation to ensure all postings are available in both English and French.
- Maintain Parkland branding standards for all communications.
- Understand / identify / escalate issues and continuously improve communication processes and programs where possible.
- Attend regular IT Gateway support meetings to stay up to date on portal processes and improvements.
- Support with scheduled portal clean-up. Implement and complete required changes. As needed, organize working sessions with internal teams to implement larger changes within platform.
- Work with Operations team to support user access issues and troubleshooting. Monitor user access regularly via reporting process.
- Support the development and execution of Annual Communications Plans.
- Assist in creating and distributing communication plan based on project needs.
- Support Communications & Training Team by completing document edits/revisions, formatting and version control, as required.
- Coordinate translation needs, following Parkland's translation process.
- Working collaboratively with Recruitment Specialist by supporting scheduling meetings/interviews, record maintenance, event planning such as trade shows/conferences.
- Support coordination of credit, background checks and other documents to/from candidates.
- Become familiar with initial triaging and screening process, enabling back-up support for Recruitment Specialist.
- Become familiar with LMS Coordinator activities, enabling back-up support for the LMS Coordinator.
- Support LMS Coordinator as needed or as deemed necessary for projects.
Education:
- Post-secondary in public relations, communications, or similar relevant field, is an asset.
Requirements:
- 2+ years of coordination and document management experience is required, preferably in communications, and/or recruitment/training or similar relevant role function.
- Bilingual (English/French) is an asset.
- Proficient in Microsoft office programs with the ability to learn and understand new systems quickly and effectively
- Self-motivated and proactive to anticipate the needs of the business
- Outstanding organizational and time-management skills
- Must be customer service oriented
- Must be willing and able to design, implement and follow processes
- Ability to effectively manage multiple and competing priorities in a fast-paced changing environment
- Experience and knowledge in copywriting, proofreading and editing
- Strong attention to detail and ability to problem solve issues and errors
- Excellent interpersonal skills, ability to develop and maintain strong collaborative partnerships with stakeholders across all levels of the organization.
- Excellent portfolio with a proven track record of successful project management examples
- Experience working with various communications platforms is an asset (Staffbase, Contentful, Jotform)
- Photo, video-editing skills and web design is an asset
- Persistent when gathering required information or data across a large and diverse group
