The Project Coordinator is a vital role for MacKay Contracting Ltd. to perform a variety of Project planning and coordination and administrative duties to support our Cranbrook operations and headquarters in creating efficiency and effectiveness for our project teams, co-workers and clients. This position is also responsible for the supervision of the Administrative Assistant Sparwood Operations.

Location & Hours:

This role will be located in Cranbrook, B.C. with regularly scheduled hours of Monday through Friday, 8:00 a.m. 5:00 p.m. There will be occasion(s) where pre-approved overtime may be required or alterations to the shift schedule, such as on a payroll week, but is not expected to make up a major component of the role.

Responsibilities & Duties:

Office, phone and e-mail management to ensure a presence for all staff, clients and guests

Project planning/coordination, including but not limited to, employee/equipment/materials scheduling, client/employee communication

Creation, submission and distribution as required of Environment, Health, Safety and Community (EHSC) Work Plan

Purchase Order management

Attendance of weekly Teams meeting with Cranbrook headquarters

Attendance of client/Project meetings as required

Project/site visits if/when required

Project cost tracking, including but not limited to, invoicing, P.O. usage, review of Project tracking and billing reports to assist with creation of invoices

Coordination with management on personnel needs and communicate to H.R by means of Personnel Requisition form

Training matrix management

FLHA management

Maintenance of office equipment and troubleshoot with I.T. when required

Assistance to Safety and H.R. Departments with document control, scanning and electronic filing of training and incident records

Office document management, which includes but isnt limited to, printing, scanning, filing, and ensuring necessary copies of documents as requested by the Sparwood operations team are available

Daily Project communication with Sparwood team

Additional duties as may be assigned

Qualifications & Skills:

  • High level of initiative and a positive attitude
  • Ability to give and follow both oral and written instructions
  • Excellent interpersonal communication skills with internal and external stakeholders at all levels
  • Excellent computer skills, and with Microsoft systems including MS Word, Excel, Outlook and Teams
  • Must be organized and demonstrate deadline/time management and task management skills
  • Working knowledge of mining and/or civil construction
  • Industry-specific certificates and licensees may be necessary
  • Consistent attendance and punctuality
  • High degree of integrity and honesty in all dealings
  • Ability to work effectively in a fast paced, team environment
  • Ability to work under pressure
  • Clean and valid Class 5 drivers licence
