Reporting directly to our Senior Accountant, this role is ideal for a highly organized and detail-oriented individual with experience in finance support, HR & office administration, and logistics. The ideal candidate will possess strong administrative and coordination skills, with experience in handling financial administrative tasks, managing office operations, supporting HR processes, and ensuring smooth logistical workflows. This position requires the candidate to be based in Vancouver and able to work from the office 3 days a week to support day-to-day operations effectively.
RESPONSIBILITIES
Finance
- Assist the Senior Accountant in the preparation of monthly, quarterly and annual closings
- Entry of all AR and AP invoices into our accounting system (Netsuite) and Beanworks
- Enter banking and credit card entries in the accounting software
- Maintain inventory records and performs routineinventory counts
- Assist the accounting team with ad hoc tasks as required
HR & Office Administration
- Act as the primary point of contact for office needs, including ordering snacks, supplies and redirecting incoming phone calls
- Ensure the office remains clean, organized and well-stocked
- Support the planning and implementation of the company social calendar
- Support the full cycle recruitment and onboarding process
- Prepare the semi-monthly payroll run and related year-end reporting via Rise Payroll
- Assist the HR & Administrative Coordinator with employee engagement initiatives and other ad hoc projects
Logistics
- Communicate with customers regarding their upcoming shipments to ensure shipping terms, timing and methods are mutually agreedupon
- Prepare and coordinate shipment of product packages to customers
- Track and expedite shipments to ensure on time delivery
- Maintain inventory to ensure product is readily available for shipment
REQUIRED SKILLS
- 1-3 years of experience inadministrative, finance, HR, or office operationsroles
- Experience withAP/AR processing, bookkeeping, and financial data entry(NetSuite, Beanworks preferred)
- Experience withpayroll processing and HR administration(Rise Payroll preferred)
- Strongcommunication and interpersonalskills for engaging with employees, vendors, and customers
- Experience withshipment coordination, logistics, and inventory management
- Proficiency inGoogle Suite and administrative software
- Strongorganizational and time managementskills, ability to prioritize and meet deadlines
- Detail-oriented,proactive problem solverwith a customer-focused mindset
- Ability to workon-site in Vancouver 3 days a weekto support office operations
