The Communications Administrator reports to the Senior Communications Specialist and works closely with the Communications & Community Relations team as well as the Executive Assistant. This role also works collaboratively across the organization to support efficient and effective corporate communications and administration. The Communications Administrator will curate opportunities to connect and engage teams, programs, and the broader community.

This role is 37.5 hours per week, Monday to Friday with some occasional evening and weekend work required; is eligible for a Hybrid work arrangement (3 days in the office at our YW Calgary Location and 2 days remote).

WHAT YOU'LL DO:

  • Work with internal team members to gather current information about YW Calgary's programs, services and support departments; develop long-lead communications plans based on needs; research content, data and stories for the development of impactful, consistent, and agile communication content including but not limited to internal newsletter and communications, presentations, and content for advocacy campaigns.
  • Support the development and administration of project-based communication plans as well as ongoing engagement and communication for the YW Board Alumni (ALLY) program.
  • Work with YW Impact Team to ensure consistent and correct data related to YW programs and services and adherence to effective research tools and processes.
  • Align all communication and engagement activities with YW's mission, vision, practice framework, values and brand.
  • Work with Communications and Administration teams to assist with internal events.
  • Create event plans and develop communications to support events; work collaboratively with internal teams to ensure events are successfully coordinated.
  • Work with Communications and Brand and Marketing teams to create graphics, content and scripting as needed for event promotion and activation.
  • Assist with the administration of internal and external communications, volunteer management, engagement and event projects.
  • Act as back-up to Executive Assistant, supporting the YW Executive team.
  • Oversee meeting logistics and scheduling.
  • Manage office supply inventory.

WHAT YOU'LL BRING:

  • Degree in the areas of Communications or Administration.
  • One to three years of related experience.
  • Exceptional communications and interpersonal skills; professional, personable and comfortable interacting with a wide variety of individuals including C-Suite and high-level external partners.
  • Superior planning, organizational, prioritization and time management skills.
  • Ability to synthesize, plan and execute complex projects successfully within timelines.
  • Self-starter, motivated to achieve results.
  • Confidence and skill to oversee multiple calendars.
  • Proficiency with Microsoft Office Suite including SharePoint.
  • Experience with Adobe Creative Suite, Asana and web-based tools is an asset.
