POSITION SUMMARY

Reporting to the Development & Communications Manager, this role is responsible for providing essential administrative and logistical support for the Development and Communications operations of the CDC. The DevCom Administrative Assistant will have operational responsibilities to support the Development Coordinator(s), and Communications Specialist(s), as well as supporting the working relationships with outsourced experts and other vendors. Specific duties will include handling correspondence, organizing documents, and assisting with various tasks to ensure smooth office operations and support staff and management.

ROLES & RESPONSIBILITES

  • Interdepartmental Problem-Solving Working closely with all departments to identify challenges and share knowledge to drive solutions to create a united team.
  • Responsible for participating in staff events and functions Essential to support fun and dynamic team functions to participate in CDC culture.
  • Maintain administrative systems, filing protocols and other administrative duties as requested.
  • Answering phone calls / emails and monitoring shared mailboxes for the DevCom department.
  • Provide data support by pulling reports and conducting integrity checks.
  • Assist with planning and executing CDC fundraising events, donor appreciation events and milestone celebrations.
  • Liaise with vendors for donor signage, special projects and custom gifts.
    Assist with corporate outreach, media coordination, and fundraising-related materials.
  • Supports the development, implementation, and evaluation of strategic communications and marketing plans to promote the CDC and its programs and initiatives.
  • Assist with social media content creation and posting; at the direction of the Communications Specialist(s).
  • Other duties as assigned

EXPERIENCE AND EDUCATION REQUIRED

Minimum high school diploma is required; secondary education in a related field is an asset

  • 1-2 years of administrative and professional office experience
  • Experience in the charitable non-profit sector or similar organizations is an asset
  • Experience in event planning.
    A combination of skill and experience will be considered

SKILLS REQUIRED

  • Excellent organizational skills; able to manage priorities and workflow
  • Good interpersonal and communication skills and the ability to communicate to a variety of groups
  • Knowledge in preparing reports, and ability to maintain up-to-date files and information
  • Ability to meet deadlines, take initiative, multi-task and be self-motivated bility to work as part of a team
  • Acute attention to detail and a commitment to excellence and high standards
  • Proficiency in Office 365, Google Drive, Slack, Canva, Social Media platforms including LinkedIn, Instagram, & Facebook, and experience in CRM software.
