Office Manager On-Site, Mississauga, ON

Reporting to the Chief Operating Officer, COO, the Office Manager will play a key role in ensuring the smooth day-to-day operations of our office. This role requires excellent organizational skills, attention to detail, and the ability to manage office administration efficiently while supporting executive leadership.
Responsibilities:
Oversee the daily operations of the office, ensuring a professional and efficient work environment.
Act as the primary point of contact for visitors and clients.
Manage office supplies, equipment, and facility-related needs, including maintenance requests.
Coordinate incoming and outgoing mail and deliveries.
Review expense submissions for executive to ensure accuracy.
Manage calendars with primary focus on scheduling needs.
Support with administrative tasks, scheduling, and correspondence.
Manage documentation, file organization, and ensure office protocol compliance.
Assist with event planning, including meetings, corporate gatherings, and employee engagement activities.
Ensure office areas, including common spaces and kitchens, are well-maintained and organized.
Oversee office security, including access control and keycard management.
Coordinate with HR and IT for new hire onboardings and office setups.
Perform other administrative duties as assigned.
Skills & Requirements:
Minimum 2 years of experience in office management, administration, or a similar role.
Excellent communication skills and strong attention to detail.
Proven ability to handle multiple tasks and work efficiently under pressure.
Good interpersonal and decision-making skills.
Strong organizational and time management skills.
Ability to maintain confidentiality and exercise discretion.
Team player with a proactive and problem-solving mindset.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint and Teams).
