Hours/Shifts

Monday to Friday, 8-hour shifts between 8:30 AM – 5:00 PM (five days per week in-office, based on operational needs. Schedules are subject to change to meet departmental needs.

The Intake Assistant plays a critical administrative role in supporting Springboard's Employment Services department. The role ensures efficient operation of the office and serves as a primary point of contact for initial client interactions. This includes determining initial eligibility, answering, screening and referring all in-person and telephone inquiries, scheduling appointments, supporting registration into various employment programs, and maintaining accurate and timely documentation in EOIS-CaMS and other systems.

KEY RESPONSIBILITIES

Client Intake & Registration

  • Register eligible clients into programs using various CRM platforms.
  • Assist with the administration of the Notice of Collection and Consent (NOCC) and explain how client information is collected and used.
  • Liaise with Career Specialists to ensure smooth and timely transition of client's post-registration.
  • Conduct outreach calls to engage clients, promote programs, and collect essential information to support service delivery.
  • Schedule and support with client appointments for intake, Common Assessment Tool (CAT) interviews, job fairs, workshops, and other relevant activities.

Client Service & Equity Focus

  • Greet clients, respond to public inquiries in-person, by phone and by email, and provide general information about services.
  • Conduct initial screening for program eligibility based on program guidelines (e.g., residency, legal working status, work permit type).
  • Ensure culturally competent, inclusive, and trauma-informed service when engaging with clients, particularly newcomers, refugees, and clients from inclusion groups.
  • Support clients in navigating the intake process by offering clarification and translation assistance where appropriate (through internal or external supports).

Data & Reporting

  • Maintain and update client records accurately and promptly in EOIS-CaMS and internal tracking tools.
  • Support staff by gathering and uploading required documentation, including resumes and signed consent forms.
  • Assist with preparation of reports on client intake trends, registration numbers, inclusion groups, and service stream segmentation as needed by supervisors or funders.

Quality Assurance & Compliance

  • Ensure all intake processes align with policies, including proper documentation and compliance with data entry standards.
  • Monitor registration errors or delays and flag issues for prompt resolution to ensure timely service delivery and reporting accuracy.

Technology & Systems Support

  • Troubleshoot minor technical issues with EOIS-CaMS or scheduling platforms for clients and escalate as necessary.
  • Assist with administrative tasks including filing, data entry, typing, scanning, copying. etc.

Collaboration & Continuous Improvement

  • Provide support for community and employer engagement events, such as job fairs, webinars, and networking sessions.
  • Liaise with employers and service providers during events to strengthen program outreach and build connections.
  • Participate in feedback sessions with Employment Consultants and leadership to improve the intake and registration process.
  • Offer input into process improvements and documentation templates related to client onboarding.

Workplace Expectations, Professionalism, and Compliance

  • Participate in trainings as per funder requirements and operational requirements.
  • Maintain professionalism and always adhere to workplace policies, ensuring focus and productivity in all environments.
  • Adhere to the organization's business casual dress code during work hours, whether onsite, online, or when working offsite.
  • Maintain an on-camera presence during virtual meetings.
  • Be available to work five in-office days per week. In-person attendance is a mandatory requirement of the role and cannot be accommodated for remote work on these days.
  • Travel within the GTA to attend employer site visits, trainings, networking events, community outreach activities, etc.
  • Flexibility to work evenings and weekends when needed
  • Perform additional tasks as required to support organizational needs, and program delivery.

Requirements

QUALIFICATIONS & SKILLS

  • Post-secondary education or equivalent combination of education and experience.
  • Proficiency in Microsoft Office Suite, Google Workspace, and familiarity with EOIS-CaMS, Zoom, and other web-based platforms.
  • Strong attention to detail, time management, and organizational skills.
  • Ability to manage competing priorities and work independently or within a team setting.
  • Demonstrated customer service orientation and commitment to providing a positive client experience.
  • Awareness of confidentiality and sensitivity when handling personal client information.
  • Highly tech-savvy, with the ability to quickly learn and adapt to new web-based platforms, client management systems, and digital scheduling tools such as Calendly.
  • Proven administrative, clerical and reception capabilities, with excellent data entry skills, digital file management, and the ability to manage sensitive documentation with accuracy and care.
  • Strong interpersonal and communication skills; ability to work effectively with diverse populations.
  • Ability to build and maintain positive work relationships with teams in a collaborative manner.
  • Excellent interpersonal, customer service, and oral communication skills to be able to effectively communicate to a wide range of individuals, in person and by phone.
  • Excellent problem solving and decision making skills to monitor office programs, clarify priorities and modify schedules, appointments and meetings as necessary for the provision of the appropriate services for clients and to prioritize and deal with issues as they arise or refer to a higher authority if necessary.
