Red Deer Resort & Casino is currently seeking a detail-oriented and organized Accounts Payable Clerk to join our Finance team. This role plays a key part in ensuring timely and accurate processing of invoices, payments, and financial records. Essential Duties and Responsibilities

  • Add new vendors as required: Maintain alphabetical file of vendors
  • Create/Manage the Purchase Order system of the Hotel
  • Sort, match, code and check invoices to receiving records and purchase orders for accuracy and manager signature
  • Follow up with departments for clarification of discrepancies on invoices
  • Post invoices in accounting system, print batch listings and check for accuracy
  • Maintain capital projects including year end documentation for external auditors
  • Maintain Petty Cash procedures and process batches to reimburse Hotel float
  • Print weekly Accounts Payables cheques for vendors based on their payment terms
  • Match cheque stubs with invoices paid and file.
  • Reconcile vendor statements as received
  • Respond to internal and external inquiries concerning suppliers, invoices
  • Prepare on demand manual cheque requests
  • Maintain monthly checklist of all regular vendors to ensure all invoices are processed in the month
  • Maintain Prepaid schedule and post monthly journals to allocate monthly expenses correctly
  • Record and reconcile Gift Certificates (Both Promotional and Cash) monthly
  • Responsible for the ordering and maintaining of office supplies for the Hotel and creating month end journal of supplies allocated to the Departments of the Hotel
  • Other related duties as required

Education, Qualification and Requirements

  • Minimum of 3 years related experience
  • Clear Criminal record check will be required upon hire
  • Post-secondary education in accounting or equivalent
  • Able to work independently still being part of the overall accounting team
  • Knowledge of accepted accounting rules, practices, laws, and reporting requirements
  • Ability to effectively communicate with individuals at all levels of the organization
  • Excellent computer knowledge and skills; ability to adapt to and learn new software
  • High level of analytical, critical and logical thinking
  • Able to work well under pressure and meet set deadlines
  • Good organizational, time management and prioritizing skills
  • Attention to detail in all areas of work

Work Environment

  • Ability to sit for extended periods of time;
  • Ability to work on a computer for an extended period.
  • Repetitive work such as keyboarding, filing, answering phones, etc.
  • Forward bending and squatting while performing filing duties.
  • Ability to walk around the hotel from department to department.
  • May be required to lift boxes up to 10 (ten) pounds when handling paper or files.
  • It often involves juggling many tasks and may become very stressful when business operations ramp up

Hours of Work:

The hours of work for this position are typically Monday to Friday, 8:00 a.m. to 5:00 p.m. Additional hours or hours outside of these timelines may be required due to operational requirement. Any additional hours or overtime must be approved by the Financial Controller prior to being worked.
