ACCOUNTABILITY STATEMENT:
The Document Control Specialist is responsible for the management and control of the technical designs, documents and database files related to the RRC and Rail Mechanical projects. This role will develop and control documentation related processes within the Quality Management System.
MAJOR DUTIES/ RESPONSIBILITIES:
- Approval, release and change control of project related drawings and work procedures using SharePoint Workflow, RRP data entry, controlled access to active electronic files, distribution of paper controlled copies to production floor and notification of updated drawings and procedures
- Change Notice (MCN/QCN) Approval Workflow developed in SharePoint for the modification of existing project related drawings and work procedure
- Maintain project related history books as applicable and track, maintain, retain, and build as project progresses
- Ensure documents are updated after receiving approval from all the applicable stakeholders
- Support projects to enhance existing document control systems in conjunction with IT and other support services
- Ensure changes to documents are traceable and performed in a controlled environment
- Develop and improve procedures and work instructions related to document control processes
- Support departmental training on document control awareness and procedures
- Support other departments to enhance their document control practices
- Support developing project specific documents for various departments
- Maintain internal and external communication regarding document status
- Support internal audit functions
REQUIREMENTS:
- University degree in Information Management or Library Science or 5 years of recent relevant experience
- 3-5 years' experience with the control of policies, procedures, forms, and standardizing processes
- Strong working knowledge of computers, Electronic Document Management systems, Adobe Acrobat and Microsoft Office applications including Microsoft Project and Visio.
- Records and Information Management and/or Document Management certifications would be a definite asset
- A thorough understanding of ISO 9001:2015 considered an asset
- Knowledge of AAR requirements and blue print reading considered an asset
- Team player with excellent communication skills (oral and written)
- High level of attention to detail with excellent organizational skills
- Commitment to health and safety
