HAYDEN Diamond Bit Industries Ltd. specializes in the design, manufacture and distribution of diamond coring bits and other diamond products for the worlds mining and exploration industry.

We are seeking for an AccountingAssistantwho has knowledge and experience working in a fast-paced changing environment.

Objective(s):

The Accounting Assistant will work as a Floater and is responsible for Clerical functions within the Finance and Sales and Marketing Departments, and act as a Reliever for Reception duties in the absence of more than one Sales and Marketing staff.

Responsibilities Accounting (Subcategorise if necessary, list in numerical order):

1. Process Invoices received from suppliers. Review against supporting documents received from Materials and purchasing department. Note exceptions and email to concerned department.

2. Submit Invoices to General Manager for approval and forward to AP Clerk for posting in Sage300.

3. Maintenance of the Fixed Assets Register, do bi-annual physical count.

4. Prepare the GST Remittance Report on a monthly basis.

5. Prepare report for Visa Credit Card transactions, classify to correct accounts and forward to AP Clerk for posting.

6. Communicate with Suppliers and perform account reconciliation.

7. Filing of documents.

8. Other tasks that may be assigned by the Finance Manager.

Responsibilities Sales & Marketing/Accounts Receivables (Subcategorise if necessary, list in numerical order):

1. Issue statements of accounts to customers.

2. Manage collections. Send payment reminders to customers for overdue invoices.

3. Process incoming payments. Match payments to invoices, post them in Sage300 and record them in respective customer A/R spreadsheet.

4. Enter invoices in customers A/R spreadsheet daily.

5. Enter invoices into A/R Sales spreadsheet for Sales & Accounting purposes.

6. Filing of documents.

7. Track status of shipments daily. Inform Sales Manager of any shipment daily.

8. Other tasks that may be assigned by the Sales Manager.

Responsibilities Reception (Subcategorise if necessary, list in numerical order):

  1. Will be the Reliever for Reception Duties when needed.

Requirements: (List under respective category)

- Knowledge/ professional qualification/ Internal-company specific

Must have a college diploma in Accounting or Finance-related field.

- Experience

Minimum 2 to 3 years of Experience in accounting-related work.

Experience in customer service-related work an asset.

- Skills (e.g computer, inter-personal, problems solving)

Sage300 software (or other accounting software)

Microsoft Office (Excel and Word)

Accounts Reconciliation

Business communication


- Aptitude (e.g. must be numerically inclined, able to lift 30 lbs, able to work with minimum supervision etc.)

Must have excellent analytical skills

Able to work with minimum supervision
