Job Description

Purpose of your Role

OFX is seeking a pro-active, positive, and highly organized Office Manager to join our team. In this part time role, you will work on-site on Wednesday and Thursday overseeing the Toronto office and ensuring it runs smoothly and effectively. The Office Manager will contribute to creating a positive and engaging work environment and, in addition to managing and maintaining the office, will assist with some social, volunteering and community engagement initiatives.

What you'll do:

Office Management

  • Manage, maintain and oversee the day-to-day operations in the Toronto office.
  • Distribute and manage employee and visitor access cards/badges.
  • Ensure office kitchen is kept clean, tidy and is well stocked.
  • Oversee the office organization, including furniture, boardroom, and meeting room maintenance.
  • Liaise with building maintenance team and service providers.
  • Assist with planning and managing upcoming office move (June 2025) including some light packing (storage room etc.).
  • Set up, support and ensure all employee town halls and large meetings run smoothly (seating, IT, catering etc).

Employee Engagement

  • Welcome employees, guests, clients and visitors to the office.
  • Take a lead role in planning, engaging, and providing opportunities for employees in Toronto and Edmonton to engage with the community i.e. volunteering or give-backs opportunities several times per year in support of our ‘Make a Difference' focus.
  • Partner with the ‘Good Vibes' Committee to plan and organize social events throughout the year. Host office theme days and other activities to boost employee engagement.
  • Post updates and messages on Teams about the Toronto office, creating a welcoming, inclusive and engaging office environment.

Administration

  • Orders and replenishes office and kitchen items for TO and Edmonton. Using excel, tracks and maintains spend against budget.
  • Work with P&C Coordinator to ensure distribution of new hire items.
  • Books external catering, lunches or dinners as required.
  • Supports event planning and partners with internal Executive Assistants on scheduling for visiting executives.
  • Receives, scans and distributes mail and packages. Off-site visits to FedEx, post office as required.
  • Act as the back-up for the Executive Assistant to the President, NA including calendar management, meeting booking, travel and expense management.
  • Assist Health & Safety Team with coordination and administration.
Qualifications

What you bring

  • Experience: Minimum of 2+ years office management or related experience. Additional experience as an Administrative Assistant is an asset.
  • Education: High School diploma required. Post-secondary diploma or degree or equivalent experience is an asset.
  • Communication & Professionalism: Strong communication skills (both written and verbal) and the ability to interact and work with a variety of employees and teams.
  • Attitude: Positive, engaging and can-do attitude.
  • Computer Skills: Good computer skills and experienced with Outlook, Word, Excel and Teams.
  • Collaborative: Team player and highly adaptable and flexible.
  • Organized & Efficient: Strong time-management and multi-tasking abilities, with a focus on efficiency.
  • Ability to Work Independently: Ability to work with limited supervision.
  • Problem-Solving: Ability to identify client and employee needs and proactively work towards solutions.
  • Discretion: High level of discretion and professionalism required.

Schedule

  • This role requires the candidate to be in the office two days per week, typically Wednesday and Thursday of each week. On occasion, i.e. during the office move time at the end of June 2025 or when the office hosts out of town internal guests i.e. a few times a year, being flexible with the days in the office is an asset.

The pay range for this position is CAD $24.00 - $30.00 per hour. Exact pay offered will be dependent on multiple factors including level of experience, job-related knowledge, skills, work location, etc.
