SSI is looking for a permanent, full-time Operations Coordinator to join our HR & Operations teams in Victoria, BC. The successful candidate will be part of a team that enjoys being of service to others and takes pride in the ability to provide exceptional administrative support. General Duties:
- Compile reports, letters, and notices as requested by COO
- Assist with writing and updating Operations policies and procedures
- Act as Employee Chair of the Health and Safety Committee
o Co-chair meetings
o Plan and lead meetings
o Address safety concerns
o Ensure compliance - Maintain security screening spreadsheet TAAs
- Assist the COO with various projects as needed
- Conduct company-wide and event-specific surveys as requested
- Planning, budgeting, resource allocation and facilitation of company social events and engagement activities
- Coordinate with all HVAC technicians, electricians, janitorial staff, plumbers, painters, and tradesmen to provide various levels of service and maintenance throughout the building
- Ensure storage area remains tidy and organized at all times
- Assist with onboarding/offboarding of employees on all operations functions including procuring and providing office equipment for employees as needed
- Responsible for coordinating any staff moves within the offices
- Coordinate with the IT team to provide system maintenance, ongoing security upgrades, and process improvements
- Ensure all procedures and policies are followed regarding recycling
- Coordinate with our landlord on all parking and facilities issues
- Responsible for providing proactive oversight of office security systems and protocols, ensuring all safety and access procedures are followed
- Responsible for monitoring all alarm systems and coordinating with the service provider regarding any alarms or security breaches
- Ensure all security procedures (sign in/out) are regularly followed
- Support in-house office events with A/V and online equipment & technology
- Maintain a thorough knowledge of SharePoint and database applications
- Assist with various design and construction projects throughout the office as needed
Requirements:
college diploma or degree or equivalent work experience
a minimum of 3 years experience in a supporting or coordination role
demonstrated ability for critical thinking in decision-making
willingness to receive feedback and coaching
exceptional time management and organizational skills
strong written and oral business communications skills
fully competent with the Office 365 suite
thorough knowledge of SharePoint, database applications and a general aptitude for using software tools
