The Opportunity
Introhive is currently on the hunt for a Payroll Specialist to join our growing team.
They will be responsible for overseeing and managing the end-to-end payroll process across multiple regions; Canada, US and UK, ensuring accurate and timely payroll execution. This includes all aspects of the preparation, processing and financial reporting related to the payroll systems and ensuring overall compliance with provincial, state and federal requirements and the timely processing of the semi-monthly and monthly payrolls. You will be responsible for implementing necessary processes and controls to mitigate financial and legal risks. This role requires a strong understanding of payroll systems, compliance with local and international tax regulations, and the ability to improve payroll processes for efficiency and accuracy. They will act as the primary point of contact for payroll operations, collaborating with HR, Finance, employees and external vendors to ensure smooth payroll administration.
Your Responsibilities
Payroll Administration & Processing
- Oversee payroll platforms, including UKG, ADP and Oury Clark.
- Manage payroll processing cycles, ensuring payroll is submitted on time.
- Collect, validate, and process employee data, including new hires, terminations, and salary adjustments.
- Calculate gross-to-net pay, tax withholdings, deductions, bonuses, vacation accruals, student timesheet hours, commissions and reconcile payroll reports and ensure accurate distribution of payments and pay stubs.
- Coordinate payroll deductions for benefits, including health insurance and retirement plans.
- Review employee expenses for streamlined expense reimbursement through payroll.
Compliance & Taxation
- Ensure timely and accurate tax filings at federal, state, and local levels.
- Submit statutory filings, workers compensation and compliance reports as required.
- Monitor changes in payroll tax laws and implement necessary updates to maintain compliance and conduct periodic payroll compliance audits.
- Manage the year-end payroll process, including W-2s, W-4s, 1099s, and other required tax documents.
- Conduct year-end payroll reconciliation and reporting.
- Maintain a payroll calendar with key deadlines and reminders for employees.
- Act as a liaison with all Government agencies and assist with internal / external audits including CRA and WCB/WSIB.
Employee Support & Issue Resolution
- Act as the primary point of contact for payroll-related inquiries and issue resolution.
- Educate employees on payroll policies, changes, and self-service portal access including hosting payroll onboarding calls for new hires.
- Maintain and manage the payroll queue to ensure prompt issue resolution.
- Develop payroll FAQs and other self-service resources for employees.
Qualifications
- 7+ years of experience in payroll administration
- Extensive and thorough working knowledge of ADP WFN and UKG required
- Payroll Compliance Practitioner (PCP) or certified Payroll Leadership Professional (PLP) designation is an asset.
- Experience managing payroll in multiple countries (i.e. Canada, US, UK)
- Strong knowledge of payroll regulations, tax laws, and compliance requirements.
- Experience with payroll audits, reconciliations, and benefits deductions.
- Excellent attention to detail and problem-solving skills.
- Expertise in payroll taxes and calculations, including statutory, legislative, and regulatory requirements.
- Strong communication skills and ability to educate employees on payroll matters.
- Ability to work cross-functionally with HR, Finance, and external payroll vendors.
- Experience in process automation and payroll system improvements is a plus.
