  • A clear and confident communicator who can manage multiple phone calls and listen carefully to understand and direct callers appropriately.
  • A detail-oriented individual who can accurately schedule appointments and follow through on tasks, ensuring all details are attended to.
  • Someone who remains courteous, calm, and composed even when dealing with frustrated or emotional callers.

Key Responsibilities:


Call Management

  • Answer and manage multiple incoming phone lines
  • Listen to the caller's needs and either resolve the issue directly or direct them to the appropriate department and next steps
  • Maintain a courteous, composed, and professional tone at all times especially with frustrated or emotional callers
  • Keep accurate call records and communication notes

Scheduling

  • Book, reschedule, or cancel appointments as required using internal systems
  • Confirm details with callers to ensure accuracy in bookings

Email & Communication Management

  • Respond to call center email inquiries and ensure timely follow-up

Other Administrative Tasks

  • Support office organization tasks, including shipments, couriers, and supply orders
  • Assist with research tasks
  • Provide backup support to other departments if needed

Qualifications:

  • Post-secondary diploma or certificate in business administration or equivalent experience
  • 2+ years of experience in a call center, receptionist, or similar high-volume phone handling role
  • Strong verbal and written communication skills
  • Proven ability to manage multiple tasks, prioritize effectively, and stay organized under pressure
  • Tech-savvy and a quick learner with the ability to adapt to new systems and tools
  • Experience using Microsoft applications (Outlook, Excel, Word, Teams) and SharePoint
  • High attention to detail, especially when managing appointments and recordkeeping
  • Ability to remain calm, courteous, and solution-focused when handling difficult or emotional conversations
  • Comfortable working in a fast-paced, team-oriented environment
  • Dependable, professional, and able to work with minimal supervision
