Hours: A minimum of 4 hours up to a maximum of 35 hours per week, on a schedule to be determined by the department, between the hours of 5:45AM and 11:00PM, Monday through Sunday

As a representative for the Community Services Department (CSD), the Client Services Representative (CSR) will provide information and registration assistance to the public related to City programs and services and respond to general enquiries via telephone, email and in-person. This position processes daily revenue through a point-of-sale system related to program, service and facility rental payments. The CSR is also responsible for providing clerical support for the Department, such as typing, filing, faxing and photocopying.
KEY DUTIES/RESPONSIBILITIES:
- Process program registrations and accept payments for Department contracts by telephone, email and in-person.
- Assist customers with facility availability and redirects enquiries to the appropriate staff when required. Creates rental contracts and permits for signature by signing authority.
- Provide information and assistance on advertising and naming rights programs.
- Provide clerical support for all Department staff as assigned.
- Provide accurate and knowledgeable answers to general enquiries from the public and other Departments on matters related to the Department and stakeholders. Redirects enquiries as necessary.
- Assist with issuing meeting room keys and allocations.
- Assist with general filing and Department correspondence.
- Daily processing of all City revenues through point of sale (POS) software which includes program registrations, harbour payments, facility rentals, tax payments, water payments, dog licenses, yard sale permits, garbage bag tags, burn permits, skating tickets, boat ramp passes, donations (i.e., Memory Lane, Corby Park), etc. Includes daily balancing and general receipts for payments.
- Maintain and update databases, statistics, calendars and client accounts.
- Responsible for updating signage and Department information on internal and external communication boards (i.e. dressing room assignments, upcoming events, closures, maintenance notices, etc.).
- Responsible for verifying and processing various Departmental cash deposits (i.e., Glanmore, harbours, Kinsmen Pool, etc.).
- Assist with procedures/programs (i.e., Lost and Found, etc.).
- Emergency response related to QSWC Emergency Procedures.
EDUCATION/SPECIALIZED TRAINING/SKILLS
Minimum Qualifications:
- One to two years post-secondary education in business/office administration studies or related field.
- Proficiency in Word, Excel, Outlook, Internet
- Strong organization, communication (written & oral), and problem-solving skills
- The ability to work in a fast-paced environment
- Strong customer service skills
- The ability to handle and solve complaints
- The ability to work independently with general supervision
- Cash handling experience
- A Satisfactory Criminal Record and Vulnerable Sector Check
WORK EXPERIENCE:
Minimum Qualifications:
- Minimum of two (2) years related office experience dealing directly with customers
- Experience with integrated financial or recreation software.
Preferred Qualifications:
- Municipal government experience considered an asset
