Key Purpose: The Marketing & Sales Coordinator is responsible for supporting key marketing and sales initiatives to enhance brand presence and engagement, as well as providing administrative support to the CEO. The position will be responsible for assisting in the development of traditional and digital marketing plans that ultimately increase brand awareness to drive sales, as well as helping to implement business development, sales, and marketing plans. As Executive support to the CEO, this position will work closely with the CEO to manage the CEOs calendar, travel arrangements and other activities as required to support the CEO on a daily basis.

KEY RESPONSIBILITIES AND DUTIES:

EXECUTIVE & ADMINISTRATIVE SUPPORT

Manage the CEOs calendar, travel arrangements, and appointments, prioritizing tasks for optimal time management.

Support the CEO with personal requests to ensure daily efficiency.

Support the Director of Sales & Marketing travel arrangements, client and business meetings, event registrations and other related tasks as assigned.

MARKETING:

Support the Director of Sales & Marketing in developing marketing strategies and plans.

Execute social media plans and tactics, including video, photography, editing, and publishing approved posts across social platforms (primarily LinkedIn).

Create and maintain the social media calendar.

Plan and execute external client, COI and vendor related corporate events as required.

Manage promotional items, including sourcing, ordering, managing inventory and tracking expenses.

Creation of marketing materials such as project and team bios and informational materials for potential clients.

Assist with the application of provincial or federal grants.

Upholds standards for managing tone, consistency, and personality of the brand.

Prepare monthly reporting (KPIs) for senior leadership.

SALES:

Assist with the development and review of client proposals.

Execute all logistics for approved trade shows, including collaborating with show organizers, exhibiting requirements, booth shipping, show registrations, associated show events, and updating team calendars.

Update Salesforce with new information on a timely basis, for example, accounts and contacts, and create custom reports and dashboards.

Configure the Salesforce database as required by the internal user group.

Ensure all follow-up tasks are up to date for each stage of the sales process.

KEY KNOWLEDGE AND SKILLS:

Strong organizational and time management abilities.

Excellent written and verbal communication skills with high attention to detail.

Ability to work independently with a proactive, problem-solving mindset.

Knowledge of sales, marketing and social media principles.

Proficiency in full Microsoft Office Suite and general office technology.

Proficiency with Canva, Adobe Premiere Pro and photoshop.

Proficiency with Hootsuite.

Experience with Salesforce software.

Good communication, time management and planning skills.

Ability to meet multiple project deadlines and demonstrate excellent attention to detail.

Experience using technology platforms, analyzing data, and reporting results.

EDUCATION AND EXPERIENCE REQUIREMENTS:

Diploma or degree in Business Administration, Marketing, Advertising, Communications, or a related field.

Minimum 2 years experience in a similar role.
