Finance Administrator
Full Time, Permanent
Ottawa, Ontario
As a member of the Finance and Administration Teams, it is the Finance Administrator's role to support Fotenns professional Planners, Designers, and Landscape Architects to help optimize their efficiency, while working to drive organizational effectiveness and maintain the high standards of service excellence Fotenn has earned in the marketplace. We orchestrate smooth and meaningful operations that add value to the relationships we cultivate with our colleagues and clients.
Typical functions include:
Prepare and distribute high volume of monthly invoices (Time & Expense, Percentage Complete, and Fixed Fee billing)
Accounts Payable function (Vendor, Supplier and Sub Consultants)
Coding and entering vendor invoices, noting discrepancies, and following up
Entering employee expense claims
Matching visa statements with supporting documents and entering, following up on discrepancies with the cardholder
Accounts Receivable function, perform customer collection calls
Set up and maintain project budgets and accounting in our Project Management system
Prepare and deliver bank deposits and other banking tasks
Assist the Director, Finance & Administration with Year End financial tasks
File financial documents; reorganize and maintain a proper filing system
Be backup for the other Financial Administrator and Office Administrator during busy times and vacations
Other duties as required
Qualifications include:
Minimum 5 years of full-cycle bookkeeping experience
Experience in working with Project Management and Financial/bookkeeping software (Fotenn uses Ajera software for project management and accounting)
Experience in Professional Services industries considered an asset (Planning, Landscape Architecture, Engineering)
Must have excellent attention to detail, organization, problem-solving and communication skills (both written and oral)
Passion for administration and getting things done efficiently with a high level of accuracy.
Ability to multitask and work in a fast-paced, high-volume environment.
Strong data entry skills
