About the Position

The Associate, People & Culture supports the P&C team on daily operations of the department relating to employee changes, offboarding and benefits administration. This role is responsible for the maintenance of employee data in Bamboo HR, provides support on P&C programs and is the first point of contact for employee questions and support. The P&C Associate also manages the time off program including vacation balances.

This is a 1-year contract.

Key Responsibilities

People & Culture Operations:

  • Collaborates with internal and external stakeholders and partners to manage the off-boarding process by creating separation agreements, processing terminations, resignations, and all other off-boarding checklists
  • Delivers an exceptional employee experience by liaising with IT, Office Services, Real Estate, Finance and Hiring Managers during on-boarding and off-boarding of employees to answer questions, remove barriers and escalate appropriate requests to P&C Business Partners.
  • Processes the appropriate documentation for all employee related changes (salary, promotion, job title, employment verification letters, etc.) in a timely manner to meet audit and payroll cut-off requirements, while maintaining data integrity.
  • Supports the administration of various P&C Programs and processes including (but not limited to) performance check-in and year-end reflection programs, pulse surveys, conflict of interest and remote work
  • Partners with the Finance department for fiscal and calendar year-end reporting requirements (vacation and incentive pay accruals, audits, cost centers, submitting invoices, etc.) while demonstrating high level of attention to detail and accuracy.
  • Tracks P&C operating expenses and supports reconciliation with our annual budget.
  • Maintains P&C shared folders.

People & Culture Systems:

  • Acts as a super user of our P&C Systems (BambooHR, Canada Life, Perform Yard and Clearview Connects)
  • Conducts regular maintenance of BambooHR by administering the appropriate access levels, accuracy of employee data, submitting approvals and regular reporting requirements for the P&C team.
  • As the first point of contact to employees and people managers, this role enhances the employee experience by answering questions related to policies and systems and escalating appropriate requests to Business Partners
  • Keeps up to date with technology enhancements and recommends/implements system improvements.

Payroll & Benefits Administration:

  • Ensures compliance with audit, Employment Standards and all applicable legislation when inputting all payroll for new hires, employee timesheets, terminations, and all employee changes.
  • Acts as the key internal control for validation of HRIS and payroll related information that flows from the MaRS HRIS and benefits providers to the outsourced payroll application for processing.
  • Process all benefits related changes in Canada Life and RBC (new hires, terminations, dependent and beneficiary changes,, etc.)
  • P&C liaison with external benefits providers (Canada Life, RBC)
  • Maintains People and Cultures intranet pages.

People Programs:

  • Oversees the Time Off program including accurate tracking and reporting balances in BambooHR and enterprise communications

Qualifications

  • Undergraduate degree in Business or Human Resources or other relevant post-secondary education
  • Understanding of Ontario Employment Standards, an asset
  • Understanding of payroll compliance and legislation, an asset
  • Previous experience onboarding and/or offboarding, an asset
  • 1+ years of experience with managing day-to day HR operations
  • Advanced Microsoft Office suite skills
  • Experience working with a HRIS, Performance and Applicant Tracking Systems
  • Work experience with BambooHR (HRIS & ATS), Perform Yard (Performance), nice to have
  • Strong detail orientation skills with ability to handle a large volume of work with accuracy
  • Ability to deal with sensitive information in a thoughtful and professional manner
  • High level of organization, prioritization and time management skills
