Salary: $21.00/hour

Position Summary

The incumbent provides support to agency customers by booking appointments, answering phones, offering reception assistance, completing workshop registrations, conducting follow-ups, and collecting relevant documentation.
**Note this is a 12 month full-time contract position. 5 days per week at 37.5 hours/week in office.

Roles and Responsibilities

Welcome visitors and manage inquiries, directing them to the appropriate personnel and resources.

Handle incoming calls, answering questions and transferring calls as needed.

Oversee the reception area to ensure it is organized and secure.

Sort incoming mail, manage supply orders, and handle packages.

Gather client documentation to achieve program milestones, entering data into customer databases and submitting documents per guidelines.

Monitor referrals via email and fax, entering data into client databases and creating customer files.

Schedule appointments, send reminders, and ensure clients complete required pre-appointment documentation.

Conduct follow-ups via phone, text, and email, completing necessary notes.

Coordinate calendars for workshops and meetings, managing scheduling and registrations, including payment collection.

Plan and coordinate community events and informational sessions to promote Meta services.

Manage event logistics, including venue selection and vendor coordination.

Promote the agency through job fairs, speaking engagements, and professional associations.

Other duties as assigned by the Program Supervisor.

Qualifications and Educational Requirements

Highschool Diploma and experience in Customer Service required.

Experience working in a call center environment or conducting sales over the phone with high deliverables target are an asset.

Experience working with diverse populations including individuals with disabilities and/or complex barriers to employment is an asset.

Advanced computer skills including the use of Microsoft Suite applications and effective research skills utilizing internet resources and databases.

Ability to multi-task; highly organized with strong time management skills.

Capable of working efficiently and accurately under pressure; flexible to changing demands of the job.

Excellent communication skills, written and oral; attention to detail with ability to produce grammatically accurate documentation, letters, and resources.

Excellent interpersonal skills: must be a team player that can accept responsibility and cooperate with others to accomplish organizational goals.

Bilingualism (French/English) is an asset.

Access to reliable transportation for travel outside the office.

Current and clear criminal record check, including vulnerable sector screening.

Additional Notes

Travel outside the office will be necessary.

May require non-standard working hours (evenings & weekends).
