Job Summary:We are seeking a detail-oriented and highly organized Office Administrator to support our operations in Kelowna and Calgary during a medical leave (1–3 months). This role requires strong multitasking skills and previous experience in the construction, automotive, industrial, or manufacturing industries. The successful candidate will be responsible for managing administrative tasks, contract reviews, document closeouts, and vendor relations in a casual, fully in-office environment.
Compensation: $23–$25 per hourHours: Monday to Friday, 8:00 AM to 4:30 PM
Key Responsibilities:
- Contract Review: Review contracts for Kelowna and Calgary to ensure accuracy in pricing, terms, and special invoicing procedures.
- Closeout Documentation: Prepare and manage all closeout documentation, including Certificates of Insurance (COI), warranties, pictures, clearances, and manuals.
- COI and Clearance Requests: Manage and process all clearance and special COI requests.
- Office Supplies Management: Maintain and order office supplies, including water, coffee, paper, and cleaning products.
- Payment Processing: Process credit card payments after Ontario office closures and ensure proper recording and reconciliation.
- Vendor and Credit Forms: Complete new vendor and credit forms with support from management.
- Expense Reconciliation: Reconcile company credit card reports for designated personnel.
- System Updates: Update vendor sites such as the Calgary Parking Authority.
- • Microsoft Tools: Utilize Microsoft Planner and SharePoint for task and document management.
Qualifications:
- Experience: Minimum of 2 years of administrative experience, ideally in construction, automotive, industrial, or manufacturing industries.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Microsoft Planner, and SharePoint.
- Organization: Strong multitasking skills with excellent attention to detail.
- Communication: Strong verbal and written communication skills.
- Adaptability: Ability to work independently and manage multiple priorities in a fast-paced environment.
