We are seeking a Payroll Administrator to join our team in Edmonton, AB. The Payroll Administrator plays a critical role in ensuring accurate and timely payroll processing for multiple companies within the organization, supporting a workforce of over 2,000 employees. This position is responsible for collecting, reviewing, and validating timesheets, processing payroll transactions, and ensuring compliance with all applicable payroll regulations and company policies. The ideal candidate will demonstrate strong analytical skills, attention to detail, and the ability to work in a fast-paced, deadline-driven environment. Collaboration with internal departments and external agencies is essential to ensure payroll accuracy and resolve discrepancies efficiently.
RESPONSIBILITIES:
- Collect, review, audit, and correct timesheets while ensuring data accuracy in the payroll system.
- Process weekly payrolls for multiple companies with 100+ employees in accordance with established deadlines.
- Input and process daily payroll transactions, including advances, vacation pay, and statutory deductions.
- Assist the Payroll Manager with month-end payroll reconciliations and consolidations as required.
- Prepare, review, and submit payroll remittances, including source deductions to the Canada Revenue Agency (CRA).
- Process pay increases, calculate retroactive pay adjustments, and ensure accurate payroll reporting.
- Ensure compliance with labor standards, company policies, and applicable tax regulations.
- Collaborate with HR and Finance departments to address payroll-related inquiries and ensure data integrity.
- Maintain accurate payroll records and documentation for audit and compliance purposes.
- Support process improvements and best practices to enhance payroll efficiency and accuracy.
- Investigate and resolve payroll discrepancies in a timely manner while maintaining employee trust and confidentiality.
- Respond to payroll-related inquiries from employees, managers, and external agencies professionally and promptly.
- Organize and maintain payroll records, ensuring compliance with document retention policies.
- Provide backup support to payroll team members during peak periods or staff absences.
- Distribute pay stubs and payroll-related documents via mail or electronic communication as required.
- Adapt to flexible work hours when necessary to meet payroll deadlines and operational needs.

EDUCATION, EXPERIENCE AND QUALIFICATIONS:
- Achievement of or in process of acquiring PCP Certification from the National Payroll Institute
- 3-5 year payroll experience
- A college diploma in business, finance, or human resources is required. An undergraduate degree is preferred.
- Proficiency in Microsoft Office applications, particularly Excel, Word, and Outlook.
- Strong understanding of payroll regulations, labor standards, and tax legislation.
- Ability to work independently while contributing to a team-oriented environment.
- Commitment to continuous learning and staying updated on payroll industry trends and best practices.
