The Opportunity
The Field House Coordinator is a key leadership role responsible for overseeing operations, programs, and services at the Irving Oil Field House. This position provides strategic direction in managing rental requests, developing and delivering programs, and ensuring exceptional experiences for members, clients, and rental group participants. The Coordinator leads the supervision and coaching of staff and volunteer teams, supporting retention and growth initiatives, and handles administrative tasks. They are also responsible for planning and delivering community events, leagues, and specialty programs, such as Day Camps.
As part of the Health, Membership and Recreation (HMR) Leadership team, the Field House Coordinator plays a crucial role in driving operational excellence and community engagement. This position requires a flexible work schedule, including evenings and weekends, aligning with the Irving Oil Field House operational hours to provide supervisory support.
Responsibilities
Administrative & Rentals Processing
Provide administrative support to ensure efficient operation of the Irving Oil Field House team as part of the HMR Team of the YMCA of Greater Southwestern New Brunswick.
Provide support to Irving Oil Field House Manager and associated team by performing rental scheduling and supportive program tasks using the facility management system (ActiveNet), Staff Scheduling (SLING), and other systems as required.
Respond to rental inquires in a timely, effective and proactive manner.
Provide advice and assistance to prospective users in creating account profiles, generates rental permits, and processes payments, credits, refunds, for rentals according to established protocols and follows up on accounts in arrears.
Maintain facility scheduling system and process of online booking requests as part of the established protocols and overall approval processes.
Provide hospitality, logistics, and set up support as needed for programs, events, leagues, and rentals as needed to support exceptional experiences.
Assist the Irving Oil Field House Manager with the growth and retention for facility rentals.
Work collaboratively with Membership Services in aligning processes tor rentals and support/leadership to membership team including but not limited to serving on the membership desk and scheduling team and providing coaching as needed.
Provide membership services support and training to team.
Program/Rental Planning & Support
Effectively plan, develop, and organize scheduled programs, activities, and services for all ages for members and the community at the Irving Oil Field House.
Employ inclusive and adaptive programming principles to cater to all individuals participating in programs and services and resource additional support as deemed necessary.
Set-up and tear down for community programs, member activities, and rentals.
Encourage and foster volunteerism, communicating volunteer opportunities for all ages within programs and the community.
Scheduling and administrative duties including sign-in/ sign-out.
Maintain program and facility equipment, during activity set-up and tear down; in a clean and orderly manner.
Supporting and collaborating with the Fitness department on programs.
Work collaboratively with other Y Departments, in particular HMR, to understand current programs and how to compliment what is already being offered.
Network and explore opportunities for engaging the community and members to participate in programming and services at the Irving Oil Field House.
General Leadership & Mentoring
Work with Manager, Irving Oil Field House to develop, manage, and measure outcomes and key metrics for each component such as monitor, support and adhere to budgets set.
Communicate and enforce facility guidelines to ensure a safe and controlled environment while paying keen attention to accident/incident prevention.
Understanding of Child Protection Policies and Practices.
Act as a coach, teammate and mentor.
Assume additional duties including workshops, training, and staff meetings as required.

Skills & Qualifications
Bachelor Degree, Community College diploma related field.
Minimum of 2 years experience working in administrative, programming, or facility setting.
Professional with a strong work ethic and organizational skills.
Flexible working hours include early mornings, days, evenings and weekends.
Strong interpersonal communication skills including written and verbal.
Experience in performance management and training of staff, is considered an asset.
Current First Aid and CPR (or be willing to obtain)

Working Conditions
As a YMCA of Greater Saint John staff member, you are responsible for your own transportation to and from work.
The YMCA of Greater Saint John has a Joint Health and Safety Committee which meets on a monthly basis to discuss health and safety within the workplace. Questions or concerns about your workplace must be brought forward to committee members.
You will be required to work in an environment which is often busy with high levels of noise.
You are responsible for the participant's safety on a daily basis, You will be required to perform first aid and CPR when and if necessary.
This position will require the staff person to stand and be active for periods of times.
