We have an immediate job opening for anHR & Operations Associatewho will play a key role in the administration and application of our day-to-day HR and Operations activities.
In addition to 3+ years of administration experience in an office environment, our ideal candidate has previous experience in HR/recruitment. ABOUT THE ROLE:
As a member of our Operations department, theHR & Operations Associateplays an important role in contributing toward our department initiatives to ensure processes run smoothly and key objectives are met. This role includes a diverse set of responsibilities under both Human Resources and Operations. This individual will work closely with our HR team and hiring managers to help us source and secure top talent to join our organization. The HR functionwill focus primarily on full cycle recruitment, new hire onboarding, training and offboarding as well as health and safety initiatives. Under Operations, the role will undertake a variety of administrative tasks to support the office and its employees. The range of responsibilities between the two areas will require someone who can wear many hats on any given day. RESPONSIBILITIES:
HR Recruitment & Selection
- Conduct full cycle recruitment including support with drafting job descriptions/ads, posting and tracking job ads, screening resumes/applicants, participating in interviews, administering candidate testing and conducting reference checks.
HR New Hire Onboarding, Training & Offboarding:
- Coordinate, track and complete the orientation and onboarding of all new employees, as well as required tasks for employee offboarding/departure.
- Coordinate, track and follow up on new hire training plan with hiring managers.
- Maintain accurate, up-to-date, and complete personnel records.
Operations Administration:
- Maintain accurate record keeping and filing systems, both physically and electronically.
- Coordinate building and facility maintenance, repair and services required; Liaison with 3rd party service providers, vendors, and contractors.
- Order, monitor and replace office supplies as needed and handle any on-demand requests.
- Assist with the sourcing, ordering, maintenance and warranty service requests for all hardware, equipment, supplies and other needs; Research and prepare details quotes for purchases as required.
- Lead, organize and execute social committee, including employee engagement activities, celebrations and events.
- Assist with all workstation set-ups (computer/phone system) and maintenance.
- Request department PO's and generate monthly department expense reports.
- Deposit cheques and process outgoing department mail/couriers.
- Monitor and enforce adherence to Company policies and procedures.
- Coordinate food catering for all employee events, meetings, client visits, etc.
- Coordinate periodic Client Greeting Card purchases (Birthday, Sympathy, and Holiday cards).
- Run office errands as needed.
Other HR/Administration:
In addition to the above, the individual in this role is required to:
- Stay up to date on relevant employment and health and safety legislation.
- Take an active role in our health and safety efforts including our JHSC Committee, ensuring information is posted as required and measures are up to date with necessary legislation.
- Participate in continuous improvement within role; Research best practices and recommend improvements to existing practices.
- Assist with the development and revision of processes and procedures within the scope of position.
- Assist with additional training initiatives across the organization.
- Perform other duties as assigned to help support strategic projects and initiatives.
QUALIFICATIONS & EXPERIENCE:
Required:
- Post-secondary degree/diploma in Human Resources or Business Administration or related field.
- 3+ years of administrative office experience.
- 1+ years of related Human Resources/recruitment experience.
- Intermediate skills in Microsoft applications, i.e., Excel, Outlook, PowerPoint, and Word.
Preferred:
- Thorough understanding of HR administrative procedures.
- Knowledge of applicable employment and health and safety legislation (i.e., ESA, OHSA, AODA, etc.)
