Our executive team leads across multiple companies and initiatives. As we continue to scale, we are seeking a talented and trusted Executive Assistant who will play a key role in supporting the day-to-day operations of the Executive Office.
The Opportunity
As the Executive Assistant to the Senior Executive team, you will work closely with the Chief of Staff and provide high-level administrative and operational support to the CEO, CFO, and other senior executives. This role is for someone who thrives in keeping things running, anticipating needs, and creating structure in a dynamic environment.
Youll be the engine behind the scenes, ensuring no detail is missed, calendars stay aligned, and execution remains sharp. Youll also serve as a trusted point of contact and a stabilizing force for a highly active leadership team.

Key Areas of Responsibility
Executive & Administrative Operations
- Manage daily administrative needs of the Chief Executive Officer, Executive Vice President, and senior executives with poise and discretion.
- Oversee scheduling, calendar coordination, email triage, and meeting preparation.
- Draft, edit, and manage correspondence, reports, and documents with precision.
- Prepare materials for meetings and presentations; take and distribute notes when required.
- Maintain internal filing systems and oversee document organization and version control.
Office & Resource Management
- Ensure the executive office space is clean, organized, and welcoming at all times.
- Coordinate internal and external meetings, including room bookings, refreshments, and tech setup.
- Liaise with departments (Finance, Legal, HR, etc.) to support executive approvals, expense reporting, and documentation.
- Manage a variety of office-related tasks, including event coordination, administrative support, and ad hoc requests.
Personal & Lifestyle Support
- Coordinate personal errands, appointments, and scheduling for the Executives and, occasionally, family members.
- Arrange services such as home repairs, vehicle maintenance, travel, and event bookings.
- Purchase and manage gifts for personal and professional milestones.
- Must have a valid drivers license and vehicle to assist with occasional transportation needs or errands
Logistics & Travel Coordination
- Arrange complex domestic travel, hotel accommodations, and executive itineraries
- Ensure all travel and logistical details are streamlined, cost-effective, and well-documented.
- Monitor and adjust plans in real time to accommodate shifting priorities.
Special Projects & Cross-Functional Support
- Execute short-term research tasks, light project coordination, and follow-up assignments as delegated by the Chief of Staff.
- Support broader organizational initiatives by providing administrative and logistical assistance across departments.
What We're Looking For
Experience in a fast-paced administrative, executive assistant, or operational support role.
Excellent communication and writing skills; confident drafting high-level correspondence.
Highly organized with exceptional attention to detail and time management.
Comfortable balancing multiple tasks, managing shifting priorities, and working independently.
Confident with technology (Microsoft Office, and digital tools).
Trustworthy and professional, with a deep sense of responsibility and discretion.
Valid drivers license and access to a vehicle is required.
