Overview

The Manager, Executive Office serves as a key partner to the CEO and senior executives, operating as a strategic enabler whose role spans tactical administrative management to high-impact strategic initiatives. This role supports the personal and professional needs of the CEO, managing both routine and complex responsibilities to maximize executive effectiveness. The position requires proactively identifying opportunities to optimize executive resources, including time, attention, and priorities, to drive organizational efficiency and impact. Your role will evolve, offering increasing responsibilities and strategic exposure over time.

Responsibilities:

  • Strategically manage the CEO (and senior executives') calendars, proactively identifying and prioritizing high-leverage activities.
  • Provide comprehensive support to the personal and professional needs of the CEO, ensuring his seamless operation.
  • Oversee complex scheduling and proactively make travel arrangements, anticipating and mitigating potential issues.
  • Own and streamline executive office operations, managing confidential correspondence, preparing strategic reports and presentations, and coordinating cross-departmental initiatives.
  • Facilitate highly effective executive meetings by setting clear agendas, preparing briefing materials, documenting decisions, and ensuring follow-through on deliverables.
  • Serve as a trusted liaison between the CEO, senior executives, and key stakeholders, maintaining clear communication and strategic alignment.
  • Liaise with and support board activities, including coordinating meetings, preparing materials, and ensuring follow-up on board-related actions.
  • Lead special projects and strategic initiatives, demonstrating strong project management capabilities and strategic foresight (examples of such projects are managing CEO's brand, supporting publication of his book, supporting business development processes and activities of the Company and the CEO, etc.)
  • Develop synergy across diverse teams, including operations, finance, and internal communications, ensuring flawless execution of executive directives.
  • Identify, recommend, and implement organizational improvements and strategic opportunities to enhance operational excellence.
  • Handle sensitive and confidential information with utmost integrity and discretion.

Qualifications:

  • Relevant experience, ideally in strategic, operational, or executive support roles.
  • Proven experience managing complex projects, executive schedules, and international travel logistics in high-pressure environments.
  • Demonstrated proficiency with MS Office and productivity tools (e.g., MS365, Planner)
  • Exceptional project management skills, with a track record of successfully coordinating cross-functional tasks.
  • Comfortable with ambiguity, able to adapt quickly to changing priorities and tight deadlines.
  • Impeccable attitude – thriving in high pressure and rapidly changing requirements for success
