Job Description Summary

The Associate Workplace Project Manager role is responsible for supporting successful change and relocation projects for MovePlans fast growing list of clients that span financial services, media and technology, pharma & healthcare, education, and public services. You will work for start-ups through to high growth businesses and multinationals, often across multiple borders. Your role will include, but not be limited to:

Coordinating and delivering workplace relocation projects for MovePlans clients

Communicating to all stakeholders, including employees, on all aspects of the project to ensure it is clearly conveyed, seamlessly implemented and successfully adopted

Supporting, maintaining and demonstrating the MovePlan culture at all times, acting as an ambassador of the Company and understanding the role of consultant within the client workplace

Tasks and Responsibilities.

Project Delivery

  • Coordinate, and drive workplace transition projects for MovePlans clients to the agreed service delivery standards by using the MovePlan Toolkit including (but not limited to):
  • Maintain the Project Control Plan
  • Undertake feasibility assessments and research projects as they relate to the workplace
  • Conduct detailed data gathering via interviews, focus groups and surveys
  • Plan and implement stakeholder engagement
  • Prepare and issue project communications
  • Manage space and storage utilization surveys to include analysis and reporting on results and developing recommendations for the client
  • Conduct equipment and furniture inventories to include analysis and reporting on results and developing recommendations for action with the client
  • Coordinate with all relevant workstreams and stakeholder teams and become a core member of cross-functional project teams to ensure decisions and solutions are made in a holistic way
  • Review and ensure adherence to Corporate Real Estate/FM Policy
  • Onboard Change, Move and File Champions
  • Coordinate all project activity including the planning and preparation of all move-related activities
  • Prepare for client briefings and presentations on specific elements of the project
  • Chair and issue meeting notes of all client meetings and progress/chase actions
  • Manage the preparation and issue of all schedules and activities
  • Produce and maintain Project Quality, Version Control & Risk Logs
  • Liaise with client and third-party suppliers
  • Manage post-project customer reviews
  • Communicate with MovePlans clients:

o Establish a MovePlan presence on-site and provide leadership, support and motivation

o Present to senior leadershipand different business lines

o Liaise with the Client Project Team and key work streams / external service providers

o Liaise with the clients department representatives

o Motivate client representatives and inspire confidence for successful project delivery

o Keep the client informed at all times of project progress

  • Liaise with team members and third parties:

o Liaise with third party contractors, including the move agent, across weekday and weekend work

o Ensure that third party services are delivered to the required level of quality

MovePlan Administration

  • Comply with all MovePlan guidelines and meet all deadlines including the use of/adherence to:

o SharePoint

o Timesheets

o Expenses

o MovePlan IT and Security Information Policy

  • Maintain the project filing system; ensure all project documents are created in accordance with the MovePlan Toolkit guidelines

General

  • The Associate Workplace Project Manager must support, maintain and demonstrate the MovePlan culture at all times, acting as an ambassador of the Company and understanding the role of consultant within the client workplace
  • For the duration of a project, the Associate Workplace Project Manager will work in a hybrid capacity between client sites and working from home depending on project needs - and is a MovePlan representative on-site. They must be flexible, self-motivated and able to work with new teams and establish strong client relationships
  • The Associate Project Manager must be able to work occasional nights and weekends when moves are in progress

  • Have Change or Project management certification
  • Have space planning, occupancy, or design background
