Hearing and Speech Nova Scotia (HSNS) provides audiology services to Nova Scotians of all ages, and speech-language pathology services to preschool children and adults. HSNS is funded by the NS Government todeliver integrated and standardized provincial services across 35 clinical sites, located in 25 communities. Nationally certified Audiologists and Speech-Language Pathologists, with support from Communication Disorder Technicians and Administrative Support Professionals, provide core services (prevention, diagnosis, and treatment), develop and monitor provincial clinical standards, and collaborate with partners to deliver a number of special programs (e.g., Autism, Stroke, Cochlear Implant). Established in 1963, HSNS works to prevent and reduce the impact of communication disorders for Nova Scotians.

Hearing and Speech Nova Scotia is currently accepting applications to hire two temporary, full-time (1.0 FTE) Records Support Clerks to assist with a document scanning and filing project at our Park Lane office. This role will involve reviewing, scanning, and organizing physical documents into our electronic filing system. The successful candidate will assess documentation prior to scanning to ensure proper categorization. Strong organizational skills, attention to detail, and the ability to maintain confidentiality are essential for this role. The schedule for this position will be determined based on the needs of the team.
In addition to the document scanning responsibilities, the Records Support Clerk will provide general support services to the HSNS team, assisting with any office-related tasks as needed.
This position is ideal for individuals currently enrolled in office administration or related programs, or those seeking experience in administrative and records management tasks.
Key Responsibilities:
- Provide support to the Hearing and Speech Nova Scotia team, including Finance and Operations staff, Managers, Directors, and CEO
- Assist with organizing, maintaining, and categorizing resources and documents for scanning and digital filing.
- Perform scanning of physical documents, ensuring accurate categorization and preparation for conversion into the electronic filing system.
- Support the coordination of site operations, ensuring an efficient and welcoming environment for staff.
- Maintain confidentiality and care of sensitive documentation throughout the scanning and filing process.
- Provide additional administrative assistance as needed to support the teams ongoing projects.
Requirements:
- Strong attention to detail and excellent organizational skills.
- Critical thinking skills to assess and categorize documents for scanning.
- Ability to work independently with minimal supervision.
- Strong communication skills, with proficiency in written and spoken English. (If English is not your first language, further documentation may be required.)
- Good interpersonal skills to interact effectively with clients and professionals.
- Good organizational/workload management skills
- Proficient in Microsoft Office.
- Ability to handle confidential information with discretion.
Assets:
- Enrollment in an office administration, business, or related education program (preference will be given to those currently enrolled).
- Previous experience with scanning, filing, or document management.
- Familiarity with office administration tasks and general office equipment.
- Ability towork efficiently both independently and in a team environment.
- Ability to communicate in languages other than English
