The Tenant Relations Coordinator (TRC) is responsible for supporting tenancy stability, dispute resolution, and tenant engagement across all housing units. This role works closely with tenants, the Housing Manager, and other departments to promote positive tenant relations, address tenancy issues, and ensure compliance with housing policies. The TRC plays a key role in preventing evictions, responding to tenant concerns, and maintaining strong relationships between tenants and the Nations Housing Department.
Key Responsibilities
Performs all duties and responsibilities in accordance with Tlaamin laws, regulations, policies, practices and procedures as directed by the Housing Manager. Maintains confidentiality as required pertaining to citizens, clients, employees and general matters of the Nation.
- Act as the primary contact for tenants regarding tenancy concerns, complaints, and disputes.
- Build and maintain positive working relationships with tenants and the Tlaamin community.
- Provide education and support to tenants on their rights and responsibilities under their tenancy agreements.
- Assist with tenant onboarding, including orientation to housing policies and expectations.
- Respond to and support tenant disputes, facilitating conflict resolution and connecting tenants to appropriate resources when needed.
- Work with the Housing Manager to support compliance with tenancy agreements while promoting a fair and balanced approach.
- Coordinate with the Maintenance and Renovations Coordinator to ensure tenant concerns related to maintenance and repairs are addressed in a timely manner.
- Monitor and address non-payment of rent concerns in coordination with the Housing Manager, supporting tenants in repayment plans or financial assistance programs.
- Conduct home visits as needed to check in with tenants and assess living conditions.
- Document interactions and maintain accurate tenancy records.
- Develop and implement tenant engagement initiatives, such as workshops or tenant meetings.
- Collaborate with other departments and external agencies to connect tenants to community supports (e.g., financial assistance, legal aid, mental health services).
- Support the Housing Manager in formal eviction processes if all other interventions have been exhausted.
- Other related duties as required.
Qualifications
Training, Education, Experience
- Post-secondary Diploma or Degree in a related field such as social work, human services, community development, or a combination of relevant education and experience.
- 23 years of experience in tenant relations, housing administration, property management, or a related field.
- Experience working with First Nations communities or in a culturally safe environment is preferred.
- Class 5 Drivers License and acceptable Drivers Abstract.
- Acceptable Criminal Record Check (Vulnerable Sector).
Knowledge, Skills, Abilities
- Knowledge of tenancy laws and regulations in British Columbia is an asset.
- Strong organizational and documentation skills.
- Ability to communicate effectively and respectfully both verbally and in writing.
- Demonstrated ability to maintain high levels of confidentiality within a small community.
- Strong conflict resolution and mediation skills and the ability to work in culturally safe and trauma-informed ways.
- Ability to work independently while collaborating with multiple departments.
- Ability to conduct home visits when needed.
- Strong computer skills including MS Office.
- Strong cultural sensitivity with a deep respect for Tlaamin Nation culture, traditions and protocols.
Working Conditions
Work is performed primarily in an office environment and other community locations. Some home visit work is required. Occasional travel to attend meetings or training is required. Occasional evening and weekend work may be required.
