Reporting to the Director of Clinical Operations, the Seniors Program Administrative Assistant provides clerical support to the Seniors Division, ensuring high-quality care and services in alignment with Good Shepherd's Mission, Vision, and Values.

How You Will Make an Impact

  • Record and prepare meeting minutes for approval and distribution, including agenda packages.
  • Assist with recruitment, including screening applicants, scheduling interviews, verifying references, and managing files in Applicant Pro.
  • Provide administrative support to directors and management, handling confidential documents and correspondence.
  • Maintain electronic and manual filing systems, including staff personnel files and client records.
  • Develop and coordinate the Director's schedule, ensuring meetings, reporting, and deadlines are met.
  • Maintain and update data collection tools, spreadsheets, and reports for program funders and leadership.
  • Prepare and proofread reports, advertisements, memoranda, and forms using Word, Excel, and PowerPoint.
  • Facilitate internal and external communications with staff, management, and community partners.
  • Input client data into the EMHware platform, ensuring care plans, routines, and assignments are accurately tracked and updated.
  • Prepare and manage client electronic records, intake folders, and discharge records for programs such as SAM, PSS, and AL.
  • Support Leadership On-Call scheduling and provide backup support for senior programs.
  • Manage inventory, order supplies, and support overall program operations.
  • Adhere to Good Shepherd policies, demonstrating initiative and professionalism.
  • Uphold confidentiality and perform additional duties as assigned by the Director of Clinical Operations.

What You'll Bring to Our Team

  • Diploma in Executive Office Administration or equivalent
  • Minimum 2 years' experience providing clerical or administrative support
  • Excellent written and verbal communication, organizational and interpersonal skills.
  • Demonstrated ability to adapt in a fast paced and changing work environment with the ability to prioritize conflicting demands; Ability to meet deadlines
  • Experience working in a family centered environment is an asset
  • Outgoing and adaptable to working in a fast paced and changing environment; able to multi-task
  • Available, resourceful and responsive to the needs of others
  • Strong computer skills; Experience with Word, Excel. Outlook, Teams, PowerPoint
  • Detail oriented and outstanding organization skills
  • CPR/First Aid certification and WHMIS training
  • Demonstrated commitment to the mission and values of Responsibility, Availability, Hospitality, Adaptability, Quality and Dignity; Available and responsive to the needs of others
  • Observe all health and safety rules and work in compliance with the provisions of the occupational Health and Safety Act and its regulations.
