What We Need from This Role

Reporting to the Senior Manager, Resident Services, the Leasing Coordinator will play a key role in supporting the efficient operations of Onwards property management team, specifically within the managed portfolio of Seniors Housing. This position involves assisting with leasing activities, ensuring compliance with operational standards, and performing various administrative tasks related to leasing and resident services in this specialized housing portfolio.

Key Duties and Responsibilities:

Leasing Support

  • Assist with processing leasing applications for seniors housing, including verifying tenant information and lease documentation.
  • Coordinate lease renewals and ensure timely follow-up with residents in the Seniors Housing portfolio.
  • Maintain accurate records of all leasing activities and tenant correspondence specific to the seniors housing program.

Auditing and Compliance

  • Support the resolution of any issues identified during audits, collaborating with teams to ensure compliance with Alberta Government Seniors Housing requirements and implement corrective actions.
  • Conduct regular audits of lease agreements, ensuring accuracy and timely updates in property management software (such as Yardi).

Operational Support

  • Review and update leasing-related policies and procedures as needed, in alignment with Alberta Government Seniors Housing regulations.
  • Administer operational programs such as Resident Insurance and tenant credit checks for the seniors housing portfolio.
  • Assist in managing accounts receivables, including aging reports, collection calls, and any necessary filings with the RTDRS for senior residents.

Collaborative Work

  • Provide coverage for team member vacancies through remote or on-site support as required.

What You Bring:

  • A clear criminal background check/vulnerable persons check.
  • A minimum of two years of administrative experience, ideally within property management.
  • Experience with Yardi or similar property management software.
  • Strong knowledge of Residential Tenancy Acts is an asset.
  • Ability to work independently and handle multiple priorities.
  • Excellent customer service, communication, and problem-solving skills.
  • A team player with the ability to collaborate with diverse groups.

Youll Stand Out If You Also Have:

  • Previous experience with a not-for-profit housing organization.
  • Familiarity with property management software such as Yardi.

Working environment, conditions and physical demands

The position entails moderate physical activity such as property visits, alongside computer and desk work. The work environment may occasionally be stressful due to handling sensitive situations, managing competing priorities, and meeting tight deadlines. Hours are typically 37.5 per week but may vary based on circumstances, occasionally requiring after-hours and weekend work.
