Role Summary

This role incumbent will be supporting three executives. This role provides administrative support to ensure all tasks and activities are effectively and confidentially managed and maintained. The role incumbent must have a can do attitude and be able to anticipate and proactively address needs, manage relationships with various stakeholders, and find innovative solutions to complex problems. This position draws upon expertise in office management practices to manage email and document flow, calendar management, report preparation, presentation preparation, and external correspondence to ensure requests are responded to promptly and efficiently. Working in a lean and busy organization, the Executive Assistant must be able to juggle priorities, act quickly, and communicate effectively.

Responsibilities

  • Manage and maintain business schedules, coordinate meetings, ensuring efficient time management. Manage off-site bookings, meetings, and agenda preparation.
  • Provide administrative support for the Senior Leaders. Prepare and edit correspondence, communications, presentations, graphs, and other documents. Order and manage office supplies. Prepare monthly expense reports.
  • Review and monitor incoming mail, e-mail correspondence, and telephone messages, preparing a daily summary for follow-up. Complete projects and special assignments by prioritizing, managing time, and problem-solving.
  • Collate, fill, and retrieve reports. Including maintaining Excel files and using pivot tables.
  • Arrange travel logistics, including flights, accommodations, ground transportation, assistance with passport/visa applications, and ad-hoc support while the Leader is on travel. Manage travel-related expenses and receipts.
  • Collaborate with executives on specific projects or initiatives; conduct research, gather data, and provide insights.
  • Other duties as assigned.

Qualifications/Skills

  • Minimum of 3 years experience as an Executive Assistant supporting multiple individuals.
  • Degree or diploma in Administration or a related field is an asset.
  • Extremely organized and proactive in managing multiple priorities.
  • Advanced proficiency in MS Office, including Word, Excel, PowerPoint, and Outlook.
  • Ability to maintain confidentiality and handle sensitive information.
  • A team player who provides support on all levels when needed.
  • A high level of accuracy, with an ability to detect inconsistencies and errors.
  • Excellent written and spoken communication skills.
  • At times, this position may require extended and flexible working hours.
