Residential and Commercial Real Estate Legal Assistant

Key Responsibilities:
- Communicate directly with clients, real estate agents, and lawyers to ensure the timely processing of real estate transactions.
- Prepare reporting letters and client accounts promptly after file completion.
- Draft and process various real estate documents, including Agreements of Purchase and Sale, documents for Purchases, Sales, Mortgages, Refinances, and Private Mortgages.
- Coordinate with real estate agents, lenders, and other parties to gather necessary information and documentation.
- Order title insurance policies and other third-party information required for closing.
- Conduct thorough due diligence, including ordering and reviewing tax certificates, title searches, and off-title searches.
- Support the productivity of the practice through legal administrative assistance, including billing, scheduling appointments, and managing deadlines.
- Maintain impeccable file organization and management practices.
- Be proficient in the use of legal tools like Unity and Teraview.
- Serve as the primary point of contact for clients, providing updates and responding promptly to inquiries.
- Other duties as assigned.
Desired Experience and Qualifications:
- Completion of a post-secondary Legal Assistant program or equivalent.
- 5 - 8 years of experience in residential and commercial real estate law.
- Solid knowledge of legal office practices, terminology, and procedures related to legal documents and correspondence.
- Familiarity with the Rules of Civil Procedure.
- High attention to detail and accuracy.
- Strong commitment to client service and confidentiality.
- Excellent communication, interpersonal, and time management skills.
- Strong organizational skills with the ability to work independently and as part of a team in a fast-paced environment.
- Ability to exercise good judgment and maintain confidentiality.
- Experience with GhostPractice and iManage would be an asset.
