As Program Support, your role will support this work through a variety of administrative, human resources, and reporting responsibilities, including scheduling, staff coverage coordination, and efficient communication throughout the CHO teams.

WHAT WE'RE OFFERING:

  • What you'll be making - Starting rate for this role is $24.93 per hour (Level 1 of the Specialized Admin Grid);
    • Successful external applicants will start at Level 1, with grid progression based on seniority up to Level 8, $32.16 per hour
    • Internal applicants will be placed on the grid based on their seniority
  • When you'll work - 70 hours over two-week period; Monday to Friday, 8:30am-4:30pm; occasionally may be required to work outside of those hours
  • What your benefits will be - 9% in lieu of benefits
  • Your pension plan – Immediate enrolment in the Healthcare of Ontario Pension Plan (HOOPP)


HOW YOU WILL BE MAKING A DIFFERENCE:

  • Assists with written reports and proposals with regard to the Community Homes for Opportunity (CHO) Program, including the expansion and/or modification of services, and to meet documentation and reporting requirements of funding and accreditation bodies.
  • Works with the Manager and staff to create and revise systems and program procedures by analyzing operating practices, record-keeping systems, forms consistency, and assists to implement change.
  • Works with the Mangers to ensure effective communication within the programs
  • Anticipates, understands and responds to the needs of staff to ensure smooth operation of services
  • Acts as a communication liaison within Supportive Housing and other CMHA Thames Valley Addiction & Mental Health Services (CMHA TVAMHS) programs, as well as between other stakeholders and partners
  • Provides administrative support and assistance to the Director, Manager, and CHO Program staff, including assisting with the development and maintenance of departmental correspondence, documentation requirements, procedures, forms, reports, meeting preparations, faxing, scanning, etc.
  • Assists with coordinating and/or compiling accurate and comprehensive regular and special statistical reports to meet the CHO Program and funder requirements
  • Maintains CHO Program Smartsheet records, communicates with finance and leadership regarding any concerns
  • Prepares and reviews program material, forms, presentations, literature and promotional materials
  • Prepares and maintains various program reports, policies and procedures, meeting preparation, etc.
  • Provides support to CHO Program staff with regard to equipment and supply needs
  • Supports maintenance of accurate tenant records including tracking of move-ins and move-outs
  • Records rent collection where required including communication with tenant funding sources, follow up on rental arrears, establishing payment agreements, issuance of occupancy/lease agreements and issuance of RTA forms
  • Maintains vacation requests for all CHO staff
  • Coordinates program coverage in advance on approved time off requests, and anticipated staff vacancy management
  • Enters and verifies bi-weekly timesheet data before Director signs off and updates schedule templates
  • Assists in maintaining interview tracking database of interviewees and contacted applicants
  • Coordinates IT requirements and schedules CMHA TVAMHS orientation, and program orientation for new hires
  • Develops Outlook and technology training for all staff and will provide thorough training and refresher training to all CHO Program staff including Private CHO home staff as required
  • Provides assistance to CHO Program staff with regard to the use of office technology such as computers and database functions while liaising with IT personnel

WHAT YOU'LL NEED TO APPLY:


Police Vulnerable Sector Check Requirements

Successful candidates must have a Police Vulnerable Sector Check completed in the last six months. Interested applicants who reside in the City of London and are in need of a Police Vulnerable Sector Check (PVSC) are encouraged to apply for one as soon as possible as PVSCs are currently taking approximately 2 weeks to be delivered and offers of employment cannot be made without receipt of a PVSC.


We require the following qualifications:

  • Completed post-secondary education
  • Superior oral and written communication skills
  • Extensive working knowledge of MS Office Professional and strong computer skills
  • Experience facilitating group and individual training sessions
  • Self-starter work ethic
  • Able to prioritize
  • Able to work independently
  • Able to liaise with other departments, staff and committees
  • Valid driver's licence and access to a vehicle
  • Demonstrated ability to attend work regularly


We prefer the following qualifications:

  • Demonstrated judgment, problem-solving, and organizational skills
  • Flexibility and adaptability to changing needs and circumstances
  • Minimum 1- 2 years' experience in not-for-profit agencies
  • Knowledge of mental illness and co-occurring complex issues
  • Knowledge of Human Resources Fundamentals
