Dispatcher / Coordinator

We are currently seeking a dedicated individual to join our team as a Dispatcher / Coordinator in the West Kootenay Region, BC. Reporting to the Service Delivery Manager, the Dispatcher / Coordinator is responsible for scheduling and coordinating up to 30 drivers and managing both driver and vehicle assignments to deliver consistent and efficient daily service.
This is a full-time position; shift will be Monday through Friday, exact times to be determined.
Compensation: $25.00 per hour
Responsibilities:
- Perform HandyDART dispatch duties, including handling phone bookings, registering new clients, creating driver pick-up schedules, live dispatching, and maintaining records
- Receive and respond to emergency assistance or service requests from dispatched resources
- Work with the Manager to prepare daily operator work and run schedules, aligning with company and partner objectives
- Work with the Manager regarding vacation requests and approve/reject according to operational needs
- Communicate effectively by providing clear and concise instructions, updates, and directions
- Advise personnel on route or traffic issues that may impact operations or customer service
- Back up to the Manager for posting alerts and detours on websites to advise riders of service disruption using software
- Relay work orders, messages, and other communications using a variety of systems, including computer-aided dispatching equipment
- Ensure compliance with laws, regulations, and company policies, completing necessary documentation
- Work with the Manager to address customer and staff concerns, answering questions and handling requests professionally
- Maintain accurate dispatch files and records, including customer requests, service logs, payroll updates, expenses, and other dispatch-related documentation
- Order necessary materials and supplies for dispatch activities and assist with day-to-day administrative tasks
- Retrieve AVL (Automatic Vehicle Location) data and print maps as needed
- Utilize various computer applications and databases to support dispatching operations
- Track vehicle mileage, fuel usage, repairs, and expenses, generating reports as required
- Process and update payroll
- Track accurate ridership data to produce monthly reports
- Manage lost and found items, including processing, recording, and cleanup
Qualifications:
- High school diploma or equivalent
- Previous work-related skills and experience in a Dispatch role is an asset
- Previous administrative or office experience is advantageous
- Experience in electronic information handling technology such as Dispatch software is considered an asset
- Ability to handle stressful situations in a composed manner
- Excellent communication skills and attention to detail
- Strong organizational and time management skills
- Diplomacy and tact
- Computer proficiency in Microsoft Word, Excel and Outlook
