Are you a master multitasker with a knack for keeping things running smoothly? Were looking for an enthusiastic Office Coordinator in our WestMount office to join our dynamic team. As the heartbeat of our office, youll play a pivotal role in ensuring everything operates like a well-oiled machine. From coordinating meetings to maintaining supplies and supporting our talented team, no two days will be the same!

This is much more than your typical reception role you will be managing many aspects of the office and being the first face for our homeowners that visit the office!

You will

  • Welcome guests with a smile, offering refreshments and ensuring they feel at home from the moment they arrive
  • Answer, screen and forward incoming calls
  • Handle calls like a pro, keep our reception area sharp, and manage mail and deliveries with efficiency and flair
  • Receive, sort and distribute daily mail/deliveries and arrange and receive couriers
  • Own the 'new hire set up' of organizing parking, ordering ID badges, assigning an office/desk space
  • Manage the cleanliness of the kitchen, and boardroom, and oversee the ordering of necessary supplies
  • Ensure the WestMount procedures manual is maintained and updated
  • Assist with administrative tasks, from organizing travel to keeping supplies stocked and handling office maintenance requests
  • Assist all business groups and teams with administrative support as needed (submit expenses, code invoices, data entry and any other ad-hoc tasks)
  • Catering for teams as needed
  • Maintain a cheerful, organized office environment where everyone can thrive.

You have

  • A high level of emotional intelligence
  • Desire to help others and a proactive approach
  • Strong experience working within an office environment
  • Experience working within real estate or construction (an asset)
  • The ability to work under minimal guidance
  • Facilities experience is an asset, but not required
  • Strong technology skills - added bonus if you've used SharePoint and Teams
  • A punctual and reliable reputation
