Role Description:
- Provide administrative and operational support to the leadership team, aligning tasks with company goals.
- Manage and optimize schedules, meetings, and appointments for increased efficiency.
- Streamline all communications, ensuring prompt, accurate responses and clear information flow.
- Maintain organized, secure filing and document systems that meet regulatory standards.
- Prepare, refine, and finalize reports, presentations, and other essential documents with precision.
- Oversee client onboarding, maintain client databases, and ensure compliance with industry regulations.
- Uphold confidentiality and professionalism in financial transactions and insurance-related processes.
- Coordinate company events, meetings, and travel, ensuring smooth execution and a positive experience.
- Serve as the primary contact for visitors and inquiries, representing the company with professionalism.
- Manage financial transactions, support insurance applications, and handle related administrative tasks accurately and compliantly.
- Lead the department of administration and the department of transactions.
Position Requirements
Hard Skills:
- Fully Professional-level bilingual proficiency in French and English
- Mandatory mutual fund (IFIC or CSC) and insurance (LLQP) certifications
- Expert-level proficiency in MS Office Suite, with a focus on data-driven reporting and analysis
- Proven experience administering and optimizing CRM platforms
- Demonstrated mastery of office management systems, procedures, and best practices
- Established ability to manage complex scheduling and workflow priorities effectively
- Demonstrated capacity to rapidly master new technologies and tools

Experience Required:
- Minimum of 8+ years of progressive administrative and operational experience

- Preferred background in service-based or financial advisory environments, reflecting familiarity with industry-specific demands
Educational Qualifications:
- A Bachelor's degree in Business Administration or a related field is strongly preferred, reflecting the seniority and complexity of this role.
- IFIC or CSC in pair with LLQP is mandatory.
