We are seeking a highly organized and detail-oriented an Equipment & Logistics Coordinator to support Arctic Kingdom's remote field operations across the Arctic. This role will be responsible for managing and coordinating the receival, storage, preparation, packing, and shipping of specialized Arctic equipment, including camping gear, winter clothing, diving equipment, field technology, firearms, and hazardous materials like batteries and compressed gases. The ideal candidate will thrive in a dynamic environment and work collaboratively with team members across Canada to ensure the safe, timely delivery and return of equipment for various Arctic field projects.
Key Responsibilities:
Equipment Preparation & Packing:
o Receive procured equipment and update inventories.
o Pick, prepare, and pack equipment from the Ottawa storage inventory for remote field use, including, but not limited to camping gear, first aid supplies, winter clothing, firearms, diving equipment, field tech, and hazardous materials.
Logistics & Transportation:
o Coordinate pick-up and receipt of equipment from carriers and vendors in a timely and efficient manner.
o Perform pick-ups and drop-offs of equipment within the Ottawa area, primarily around the airport, as required.
o Forecast timelines for projects and manage accordingly to meet deadlines.
o Ensure proper labeling, packaging, and identification of all equipment destined for storage, air or road freight.
Inventory & Asset Management:
o Oversee the organization of warehouse space, ensuring that equipment is stored securely, accessible, and properly maintained.
o Conduct inventory counts, post-trip equipment inspections, and reconciliation of stored equipment associated with inventory and asset management systems.
o Unpack and store field equipment upon return from trips as requested, ensuring proper organization and secure storage within Ottawa facilities.
o Regularly inspect and track field equipment to maintain condition and functionality.
o Proactively identify issues such as equipment requiring repairs or low stock and report these issues promptly.
Communication & Reporting:
o Communicate effectively with internal teams, suppliers, and external stakeholders using email, phone, WhatsApp, and other communication platforms.
o Resolve disputes and maintain professional relationships with suppliers to ensure smooth logistics operations.
o Suggest improvements to Equipment & Logistics policies and procedures to enhance operational efficiency.
Additional & Field Operations Travel:
o Potential for travel to remote field locations such as Nunavut and the Northwest Territories (2+ week periods), as available.
o Required travel to Mississauga office for training sessions as needed (12-week periods).
Qualifications & Skills:
2+ years of experience in logistics, warehouse management, or related fields. Prior experience working in Arctic conditions or with outdoor/field equipment associated with the job description is an asset.
This would include, extreme camping gear, electronics and Scuba Diving equipment.
Hold and maintain a valid Class G drivers license.
Possess or be willing to obtain, and maintain, a valid Non-Restricted Firearms license (PAL).
Ability to demonstrate computer competency beyond basic use.
A valid first aid certificate is an asset.
Ability to manage multiple tasks, prioritize effectively, and meet tight deadlines in a fast-paced environment.
Strong communication skills, both written and verbal, with the ability to work independently and as part of a team.
High level of care for equipment condition and performance, with the ability to identify and address potential issues before they arise.
Familiarity with handling hazardous materials (e.g., batteries, compressed gases), firearms, and outdoor equipment, an asset.
Ability to lift and move equipment up to 70-lbs, as needed.
Professional demeanor and appearance when interacting with staff, vendors, and clients. Ability to represent Arctic Kingdom effectively in all dealings.
Additional Information:
Certain working hours may shift sporadically during the March to June season to accommodate project needs.
