We are looking for a Program Assistantto join our team!

The Program Assistant will report to the Program Manager, Black Health and Social Services Multidisciplinary Team (BHSS MDT) andwill provide support to the Program Manager and the multi-disciplinary team bycarrying out administrative tasks that impact daily operations including front desk reception duties. Program Assistantsare responsible for performing general office duties, including participating on organizational committees, and providing project support.This role is required to be on-site at various CMHA and/or partner sites as well as in the community as required by program and client needs.

Status:6-month contract-full-time, 37.5 hours per week, evening hours and weekend may be required. Note, this posting is for an active vacancy

Base Salary:$42,930.00 - $49,825.84annually(Candidate qualifications will be considered when determining the starting salary)

Location:This position is based out of Brampton. Although we operate with a flexible workplace policy, staff are required to have office and/or community presence as per program and client needs.

What you will do

Onsite Administration Duties (hybrid model or as needed)

Support scheduled rotational front desk coverage, welcoming clients and visitors to our space.

Facilitate any immediate requests and coordination such as receiving deliveries and engage with vendors/service providers

Engage with clients to collect client feedback

Maintain supply inventory by checking stock to determine inventory level, replenishing supplies, ordering supplies as needed, verifying receipt of supplies.

General Administration and Information Management

Act as a liaison between the Program Manager and staff to ensure appropriate coordination and follow-up on day-to-day needs

Manage and maintain confidential information

Where applicable, manage and maintain the Managers and teams work schedule, including scheduling shifts for the 24/7 programs

Maintain electronic filing system as needed. Enter and update client data and pull data reports for program managers and funders as required

Create, revise, and improve systems and procedures by reviewing operating practices, record keeping systems and forms; Implements changes as approved by Manager

Perform other duties and responsibilities including special project support, as assigned by the Manager.

Financial & HR Administration Support

Support the Manager with financial processes including, electronic timesheets, payroll and HR administration processes as required

Prepare purchase orders, quote sheets and reconciles invoices, ensuring appropriate follow-up with Finance and Accounts Payables

Follow up on monthly expense procedures for Program staff, as per policy

Track and monitor mandatory staff training for program and supports with registration

Track and remind the Manager of key dates such as annual reviews, probation reviews, and hire date anniversaries for their staff.

Events, Meetings & Presentations

Plan and schedule meetings and training using MS-Outlook Calendar to its fullest capacity for the program staff

Book meetings as directed, organizes space, equipment, and logistics, prepares agendas, records, and distributes accurate minutes and action items as per Agency templates

Prepare agendas, records, and distributes accurate minutes and action items as per organizational templates; tracks and updates action items from meetings

Ensure audio visual and presentation materials/equipment are prepared and ready as required

Serve as backup recorder for other committees or groups

Co-ordinate and organizes events such as training and team day, including catering and coordination.

What you need to join our team

Post-secondary diploma in Business/Office Administration is required.

Minimum 3 years of office administration experience.

Superior knowledge and understanding of administrative role supporting large multi-disciplinary teams.

Experience working in the non-profit sector is an asset.

Demonstrated cultural sensitivity and ability to effectively work with Black, African and Caribbean communities

Demonstrated experience working within a multidisciplinary team and evidence of an understanding of the importance of partnerships and collaboration

Strong understanding of the current and historical health inequities experienced by Black, African and Caribbean communities

Demonstrated and practical understanding of anti-Black racism and intersectionality, and various barriers which affect diverse identities

Strong interpersonal skills with proven ability to approach, listen, build trust, and communicate across diverse cultures and intersectionality. Willingness to continually improve understanding around cultural competence.

Openness to operate from an anti-racist, anti-oppressive, 2SLGBTQ+ affirming and intersectional framework.

Willingness to learn and apply practical understanding of different elements of diversity, such as gender identity/expression, race/cultural background, religion, sexual orientation, disability, immigration and precarious status, family status, etc.

Fluency in a second language, including ASL (American Sign Language) is considered an asset.

Valid Canadian drivers license and access to an insured automobile in good repair

A satisfactory Vulnerable Sector Screening (Police Check) report.
