The Office Coordinator is responsible for the overall management of office operations and providing key support to various departments, including HR, Finance, Payroll, and the Executive Team. This position encompasses a wide range of responsibilities, from administrative tasks to front reception duties, and event coordination. The Office Coordinator plays a vital role in fostering a productive and efficient work environment, supporting both the administrative and executive functions of the organization.
Office Management/Logistics
- Scheduling and calendar management
- Manage the ordering, receiving, and storage of office supplies to ensure that essential items are always in stock
- Maintain cleanliness and organization in the kitchen and common areas, ensuring sufficient supplies and that the overall office remains clean
- Manage the ordering, receiving, distribution, and expensing of any specially ordered supplies for clients and or projects
- Assist in the management and processes of the Fleet Management Program
- Ensuring accuracy of all invoices
Reception Management
- Handle incoming and outgoing phone calls and inquiries
- Greet visitors and monitor the sign in/out sheet
- Manage outgoing and incoming mail, including local couriers
- Handle emails and monitor multiple inboxes
Building Management/Tenant Responsibilities
- Review, execute, and consolidate building contracts for supplies, facility maintenance, and other requirements
- Act as point of contact for and coordinate with vendors
- Conduct general monthly office inspections
- Inventory/office ordering (fruit box, kitchen restock, stationary, printer room supplies, mail out supplies, etc.)
- Communicate with the team on changes, interruptions or notices as needed
Executive Support
- Prepare, manage and expense reports
- Executive support including bookings, calendar management, reservations and other requests
- Event planning
- Manage travel requests and bookings for CWL leadership team
- Management of corporate accounts including scheduling, communication, and distribution of tickets or other items
Team Services Support
- Orientation/Onboarding
- Job postings
- Filing/Record management
- Tracking and report creation
- Project support
- Culture Committee (supporting team initiatives and events as needed)
Team Support
- Communication to teammates of office notices, updates, and other messages
- Assist with ad hoc projects and initiatives as requested by CWLs Executive Leadership Team, CARDON Group, and CARDON Group of Companies, based on capacity and manager approval for tasks outside of the listed accountabilities'
Health & Safety
- Adhere to and stay informed on all Health & Safety requirements as outlined in the organization's policies, procedures, and any relevant legislation
- Follow established safety procedures and protocols
- Use required controls to protect against potential hazards, including Personal Protective Equipment (PPE)
- Identify and report any unsafe conditions, hazards, incidents, or potential risks
- Promote a culture of safety through active involvement, attending training, and supporting teammates
Travel Requirements
Limited travel will be required for errands, mail, and other day-to-day tasks. Additional travel may be necessary for seminars, training, or visits to alternate locations. This requirement may change based on business needs.
